Role

The Service Delivery Admin role plays a key part in supporting our Rehire Department. The role is fast paced and requires excellent attention to detail, strong communication, and the ability to balance priorities across multiple stakeholders. You will act as the link between our depots, customers, and Rehire suppliers, ensuring equipment is delivered and collected within strict service level agreements.

You will be responsible for managing the whole admin cycle for the rehire team, confirming delivery times for customers, items are delivered successfully, and collected as requested. This role is integral to maintaining customer satisfaction, controlling costs, and supporting the growth of our rehire network.

As part of the Rehire team, you will work to defined KPIs around the quantity of outstanding unconfirmed on hires and off hires, and number of rehire supplier invoice queries with clear opportunities to improve processes and strengthen supplier relationships. This role is suited to someone who thrives in a busy environment, enjoys problem solving, and is motivated by delivering results under pressure.

Rehire (also known as Cross-Hire) is when we source equipment from other trusted hire companies to meet customer needs when items are not available in our own fleet. This ensures we can offer a wider range of tools and machinery, maintain service levels during periods of high demand, and deliver on time even when our depots do not hold the required equipment.

Key Responsibilities and Duties:

● Act as one of the first points of contact for depots regarding rehire delivery and collection ETAs
● Liaise with suppliers to obtain accurate delivery and collection confirmations and confirm and close contracts
● Update internal systems accurately and in a timely manner with all relevant hire and pricing information
● Investigate and resolve supplier invoice queries in conjunction with the Purchase Ledger team.
● Work collaboratively with the wider Rehire team to improve response times, accuracy, and service reliability

Key Performance Indicators (KPIs):

● Unconfirmed Deliveries SLA: Maintain zero unconfirmed hires older than one working day
● Unconfirmed Collections: Maintain no more than ten unconfirmed collections older than ten working days
● Supplier Invoice Compliance: Work with the Purchase Ledger team to maintain zero invoice queries older than sixty days and reduce aged supplier debt across the Rehire network

● Demonstrated ability to work under pressure and meet strict deadlines
● High level of dedication, self-motivation, and proactive problem-solving skills
● Competent in the use of Microsoft Office applications and internal business systems

Desirable Skills:

  • Previous industry experience (plant/tool hire or Rehire)
  • Knowledge of cross-hire processes
  • Proven experience negotiating with suppliers
