East Grinstead - with parking available nearby (approx £5 per day) - also around a 15 minute walk from the train station. Workplace is a town centre based location with plenty of bus options available from nearby towns.

Full time permanent role - Monday-Thursday 0900-1730, with a 1700 finish on Friday's. Office based role. Working in superb newly refurbished office.

The role - Administration Assistant

We’re seeking a proactive and organised Office Administration Assistant to join my clients growing team. You’ll play a key role in ensuring the smooth co-ordination and booking of client meetings, acting as a first point of contact and supporting consultants with diary and client management.

This is a fast-paced, client-focused position where initiative, attention to detail, and strong communication skills are essential.

Duties will include:

  • Co-ordinate and schedule client meetings (face-to-face, phone, virtual)
  • Manage multiple consultant diaries to maximise efficiency
  • Send confirmations, reminders, and pre-meeting information
  • Handle any rescheduling of booked meetings and cancelations
  • Act as a first point of contact for new and existing clients
  • Explain services clearly and professionally
  • Manage high volumes of calls and emails
  • Build strong client relationships and maintain engagement
  • Maintain accurate client records and CRM updates
  • Ensure GDPR compliance and confidentiality
  • Follow up with unresponsive or overdue clients to maximise opportunities

Experience, competencies and knowledge required:

  • Previous experience within an administrative / office based role
  • Highly organised with strong attention to detail
  • Confident communicator (written and verbal)
  • Pro-active and able to work independently
  • Comfortable using CRM systems and Microsoft Office
