About the role:

In this role, you will work closely with the Service Manager's to support the effective day-to-day running of multiple services, ensuring that robust administrative and financial systems are developed, implemented, and maintained in line with Waythrough policies and procedures.

You will play a key part in strengthening internal processes, contributing to the smooth and efficient operation of up to 7 services. This will include supporting the design and continuous improvement of administrative systems, ensuring they are both compliant and fit for purpose within a busy, client-focused environment.

A significant aspect of the role will involve managing and coordinating a broad range of administrative tasks. This may include maintaining accurate records, supporting data entry and reporting requirements, overseeing documentation processes, and ensuring information is handled in line with confidentiality and data protection standards. You will also support financial administration, such as processing invoices, monitoring budgets, and maintaining financial records, ensuring accuracy and accountability at all times.

Working across 7 services, you will need to be highly organised and adaptable, able to prioritise competing demands while maintaining attention to detail. You will act as a central point of coordination, liaising with staff across teams to ensure administrative processes are understood, followed, and continuously improved.

What you'll do:

  • Revise, maintain and update all filing systems.
  • Answer and respond to all initial enquiries from outside agencies or prospective residents.
  • Maintain holiday records and all other internal administration systems.
  • Co-ordinate the taking and passing on of internal and external messages.
  • Provide telephone reception.
  • Maintain and update the service diary.
  • Provide typing and word processing support for the staff team as necessary.

What you'll need to succeed in the role;

  • Good verbal communications skills and an ability to relate to a wide range of people.
  • Experience of completing financial returns / records.
  • Experience of maintaining and reviewing office systems and procedures.

  • Administrative skills, including experience of working within electronic monitoring and recording systems.
