Our client, a leading provider of facilities services in the UK, is seeking an organised and detail-driven Asset Data Coordinator to support the accurate management of assets, planned maintenance activities, and data quality within a CAFM environment.
Job Overview
This role plays a critical part in ensuring that asset and planned preventative maintenance (PPM) data is accurate, compliant, and consistently maintained to support effective maintenance operations. The Asset Data Coordinator will work closely with Technical Services, operational teams, and internal stakeholders to ensure that asset information and maintenance schedules are robust and fit for purpose.
The position is well suited to someone with strong system skills, advanced Excel capability, and experience working in facilities, maintenance, or data-led environments. A strong process mindset, attention to detail, and the ability to work independently are essential to success in this role.
Key Responsibilities
- Manage asset and PPM data within the CAFM system, ensuring accuracy, consistency, and compliance with legal, engineering, and organisational standards.
- Create, update, and maintain planned maintenance schedules in advance of technician allocation.
- Monitor and improve data quality, verifying updates and supporting end-to-end asset lifecycle management.
- Prepare and audit asset data collection templates and support physical audits of agreed work activities.
- Review technician feedback and update maintenance plans or asset information where required.
- Maintain core asset and maintenance data across multiple platforms, including through API integrations.
- Manage data administration requests, system queries, and issue escalations.
- Work collaboratively with customers, Operational Leads, Technical Services teams, and other internal stakeholders.
Person Specification
- Experience delivering maintenance or facilities-related tasks in a process-driven environment using CAFM, CMMS, or similar systems.
- Strong proficiency in MS Office, including advanced Excel functions and formulas.
- Background in work planning, scheduling, asset management, database management, or a similar administrative role.
- Excellent written and verbal communication skills, with the ability to work effectively across dispersed teams.
- High attention to detail with a strong commitment to data accuracy and process adherence.
- Proven ability to plan, prioritise, and manage workloads under tight timelines.
- Comfortable multitasking and working independently with minimal supervision.
- Strong customer service mindset, with flexibility to meet client needs, including occasional out-of-hours support.
