We are seeking a highly organised, proactive, and customer-focused Contract Operations Administrator to join our growing team.

THE ROLE
This is a fast-paced and varied position that sits at the heart of our operation. You will be responsible for coordinating customer orders, supporting project delivery, managing essential project information, and ensuring that all administrative processes are completed accurately and efficiently.

The successful candidate will be calm under pressure, highly organised, and capable of managing multiple priorities while maintaining exceptional attention to detail. You will play a key role in ensuring orders run smoothly from initial customer contact through to successful installation and completion.

KEY RESPONSIBILITIES
• Answer incoming telephone calls and respond to customer enquiries professionally and efficiently.
• Process customer orders, including preparing documentation, and coordinating appointments with the scheduling team.
• Register customer warranties and maintain accurate records.
• Package and dispatch product samples to customers and prospective clients.
• Build strong relationships with customers, maintaining regular communication to ensure projects are progressing as planned.
• Liaise with customers, housebuilders, contractors, site managers, and internal departments to coordinate project requirements.
• Coordinate special access requirements for sites and ensure all arrangements are in place ahead of scheduled works.
• Monitor project progress and proactively identify and resolve issues that may impact delivery schedules.
• Ensure all project information, records, and documentation are accurate, up to date, and completed in a timely manner.
• Support the wider operations team with administrative and coordination tasks as required.
• Assist in improving processes and identifying opportunities to increase efficiency across the department.

SKILLS & EXPERIENCE
Essential
• Excellent customer service and communication skills, both written and verbal.
• Strong computer literacy and confidence using Microsoft Office and business systems.
• Previous experience in a busy administration, customer service, planning, coordination, or operations role.
• Ability to work effectively in a fast-paced environment whilst maintaining a high level of accuracy.
• Excellent organisational and time management skills.
• Ability to prioritise and manage multiple tasks simultaneously.
• Strong attention to detail and a methodical approach to work.
• Professional, confident, and customer-focused manner.
• Ability to work both independently and as part of a collaborative team.

Desirable
• Experience within construction, manufacturing, home improvement, or project-based industries.
• Previous experience in planning, scheduling, contracts administration, or operations coordination.
