Import Operations Coordinator (Ocean Freight) – Newcastle

Jackson Hogg are delighted to have partnered with a growing freight forwarder to appoint an Import Operations Coordinator to join their expanding Newcastle office.

This role offers an excellent opportunity for a motivated and detail-focused individual to play a key part in managing international import operations across multiple modes, with a focus on ocean freight (LCL/FCL).

Role Overview

As an Import Operations Coordinator, you will be responsible for managing global import shipments from start to finish, ensuring compliance, accuracy, and excellent customer service throughout the process. The role supports a broad range of transport modes including ocean, air, road and rail.

Key Responsibilities

  • Manage global import shipments end-to-end across ocean, air, road, and rail
  • Prepare quotations and arrange import movements worldwide
  • Monitor market trends and pricing to remain commercially competitive
  • Liaise with carriers, shipping lines, and suppliers to secure best rates
  • Prepare accurate shipping, customs, and financial documentation
  • Issue booking instructions to carriers and overseas agents
  • Handle pre-alerts, invoicing, order tracing, and customs entries
  • Ensure cargo is released only against correct documentation and cleared funds
  • Track shipments through to final delivery, maintaining service standards
  • Keep customers, agents, and suppliers fully informed throughout the process
  • Build and maintain strong relationships with suppliers, overseas agents, and internal teams
  • Support general operational and administrative duties as required

Skills & Experience Required

  • Proven experience within import ocean freight operations, including quoting
  • Knowledge of air freight and customs systems (training available where needed)
  • Strong understanding of shipping documentation, compliance, and procedures
  • Excellent organisational, communication, and customer service skills
  • Ability to work independently and manage competing priorities under pressure
  • High level of attention to detail and accuracy
  • Commercial awareness with confident negotiation skills
  • Proactive, flexible, and positive approach
