Part‑time Administrator (Training & Certification Support) - 16 flexible hours/week (9‑month maternity cover)

About the role
My client is seeking a reliable, organised Part‑time Administrator on a 9‑month fixed‑term maternity cover contract.

This role is 16 hours per week, with flexibility to work those hours between 08:00 and 17:30 (Monday to Friday). Ideally 4 hours Mon, then 3 Tuesday, Wednesday , Thursday, Friday

Key duties

  • Answer the phone, take accurate messages, and handle general enquiries professionally.

  • Receive, date-stamp and distribute general correspondence and awarding organisation certification.

  • Initial processing of completed course documentation, including:

    • removing Assessor Reports and passing to the Quality Lead (Neil)

    • scanning attendance/registers and saving to the server accurately

    • updating Traintrack with candidate details, qualification and start date

    • passing course paperwork to IQA (or Administrator where no IQA required)

  • Prepare course paperwork and distribute to Trainers.

  • Send certification to clients as required by the Admin Team (create covering letter, package, send and update Traintrack).

  • Check and maintain the coffee machine and water bottles.

  • Manage stationery supplies and course reference books (stock levels and ordering).

  • Support Trainer/Assessor accommodation bookings.

  • Maintain high levels of accuracy and attention to detail across all documentation, scanning and system updates.

About you

  • Previous administration experience (training/education environment beneficial).

  • Excellent accuracy and attention to detail (confident with data entry and document handling).

  • Confident, professional telephone manner and strong communication skills.

  • Good IT skills (Microsoft Office; scanning and document management; comfortable learning systems such as Traintrack).

  • A team player who can work collaboratively with the admin team, trainers/assessors and quality/IQA colleagues.

  • Discreet and mindful of confidentiality when handling learner documentation and certification.

Hours, pay & holiday

  • 16 hours per week (flexible) - arranged between 08:00-17:30, Monday to Friday

  • £12.80 per hour

  • Contract: 9‑month fixed‑term (maternity cover)

  • Holiday entitlement: 20 days annual leave plus bank holidays (pro rata)
