Our client, a leading provider of facilities services in the UK, is seeking a Receptionist to provide high‑quality front‑of‑house and hospitality support within a small office environment.
This position focuses on delivering a professional, welcoming, and efficient reception service while supporting the Workplace Manager with a range of administrative, hospitality, and central service desk duties. The role requires someone who enjoys providing excellent customer engagement, keeps organised under pressure, and is confident managing day‑to‑day responsibilities independently.
You will play a key role in creating a positive first impression for all visitors and callers, ensuring smooth service delivery and strong adherence to site processes and security procedures. The successful candidate will take ownership of tasks, maintain high standards across the reception area, and escalate any complex issues appropriately.
Key Responsibilities
- Provide a warm, helpful, and professional first point of contact for all visitors and callers.
- Answer incoming telephone calls, resolve queries, provide accurate information, and take clear messages when required.
- Meet and greet colleagues, managers, tenants, landlords, and members of the public, delivering an efficient and friendly service.
- Maintain and manage the visitor sign‑in process, ensuring daily visitor lists are accurate and up to date.
- Keep the reception area tidy, well presented, and fully up to date with administrative tasks.
- Support hospitality activities, including preparing and managing 3–4 large conference and meeting rooms.
- Assist with monitoring and ordering office supplies, ensuring reception equipment is maintained.
- Follow site security procedures and ensure effective communication with the onsite client and relevant teams.
Person Specification
- Experience in customer engagement is essential; dedicated reception experience is not required.
- Computer literate and able to follow established instructions and site processes.
- Confident working in a hospitality‑focused environment and managing meeting rooms.
- Proactive, reliable, and able to take ownership of tasks independently.
- Clear communicator who keeps the onsite client informed and meets required standards.
- Naturally organised and comfortable working in a small client‑facing setting.
- Takes pride in the workspace and consistently delivers high service standards.
