About the Role
We are hiring for a Shipping Administrator / Shipping Coordinator to join an established global logistics and freight organisation at their Portsmouth site.
The successful Freight Administrator / Logistics Administrator will support the warehouse, office, and management teams, ensuring the smooth running of daily shipping and freight operations. The role requires excellent communication skills, strong administrative ability, and the capability to manage time-sensitive logistics tasks accurately and efficiently.
This opportunity would suit an individual who can remain calm under pressure, multitask effectively, and confidently solve operational problems within a busy freight forwarding and logistics environment.
The Role
As a Shipping Administrator, you’ll play a key role in supporting the company’s daily freight and shipping operation.
Your responsibilities will include:
• Pulling trailers from the company’s WMS (Warehouse Management System)
• Booking trailers with the company’s designated shipping lines
• Processing and booking HAZ / hazardous freight shipments
• Processing and booking freight travelling under RGR, T Forms, and C88 documentation
• Maintaining consistent communication with the Warehouse Manager regarding trailer loading schedules
• Sending daily Voyage Presentation Lists to shipping lines
• Adding trailer PIN release numbers to the shipping stock sheet
• Investigating consignments received un-manifested or manifested and not received
• Updating the shipping stock sheet with incoming trailer information for Portsmouth
• Updating the shipping line diary within the company’s WMS system
• Uploading PODs (Proof of Delivery) to the company database
• Providing Certificates of Shipment when requested
Key Requirements
• Previous administration experience using Microsoft Office systems
• Excellent customer service and communication skills
• Strong organisational and multitasking abilities
• High levels of attention to detail and accuracy
• Quick to learn with a proactive and can-do attitude
• Flexible approach with the ability to adapt to changing operational demands
• Resilient and comfortable working within a fast-paced logistics environment
Desirable Experience
• Previous experience within a shipping, freight forwarding, logistics, or warehouse operation
• Knowledge of customs warehousing procedures and shipping documentation
