Our client, a leading provider of facilities services in the UK, is seeking a Workplace Co-ordinator to support a contract extension within a major banking account.

This is a brand-new, part-time opportunity working Monday to Thursday, 9am–3pm, supporting the day-to-day operational activities within the scope of an integrated facilities management contract.

The role offers a varied and hands-on workload, providing a world-class, client-facing front of house and facilities management service. The successful candidate will help ensure operations run efficiently and professionally, acting as an ambassador for both the client and the service provider.

Job Description

The Workplace Co-ordinator will support daily site operations, managing facilities management requests, client enquiries and liaison with technical services. The role also includes responsibility for mail and courier services, meeting room support and general workplace coordination.

This position requires a calm, professional and service-focused individual who can engage confidently with senior client stakeholders while maintaining high standards of compliance, health and safety, and customer experience.

Key Responsibilities

  • Act as the primary point of contact for all facilities management-related matters, promoting and supporting the client helpdesk and driving work orders to completion within agreed SLAs.
  • Ensure the smooth daily operation of the client site, escalating building and facilities issues to the facilities management team as required.
  • Provide front of house services, including visitor, contractor and security pass management in line with agreed processes and standards.
  • Monitor cleaning standards, workplace inspections and meeting room usage, progressing corrective actions where required.
  • Deliver meeting room hospitality, including set-up, maintenance, replenishment and clean-down to agreed client standards.
  • Manage incoming and outgoing mail, franking, courier collections and confidential waste procedures.
  • Support client administration, management reporting, use of site operating systems and non-contractual services such as travel bookings, publications and mailings.
  • Maintain compliance with organisational and client policies, health and safety requirements, confidentiality standards and professional grooming expectations at all times.

Person Specification

  • Proven experience delivering excellent customer service.
  • Ability to represent the service provider professionally with senior client stakeholders.
  • IT literate with strong written and verbal communication skills.
  • Confident in identifying and resolving issues to meet or exceed client expectations.
  • Calm, organised and level-headed under pressure.
  • Professional, approachable and client-focused manner.
  • Strong attention to detail and commitment to high standards.
