Our client, a leading provider of facilities services in the UK, is seeking an Administrator to join their Professional Services, Production & Technology function.
Job Overview
This role plays an integral part within the RFS team, overseeing, managing and following through works requests from initial instruction to successful completion. The Administrator will ensure best practice is followed at all times, with a clear understanding of client processes, procedures and site restrictions.
The position requires a confident and organised individual who can manage day-to-day operational tasks, liaise with multiple stakeholders and maintain accurate system records. Acting as a key point of contact, the Administrator will support the smooth delivery of facilities-related works across the contract.
Key Responsibilities
- Manage and oversee RFS jobs from request through to completion, ensuring best practice is followed throughout
- Print, allocate and manage maintenance and escorting jobs for southern sites to engineers and subcontractors
- Allocate all New Works RFSs and close off completed jobs, including labour hours and job comments
- Raise, manage and progress purchase orders for subcontractors, engineers and client-approved works through to invoicing
- Request and raise quotes, issuing them to the client and Client FM for approval
- Handle and progress day-to-day queries from clients, service desk teams, engineers and contractors
- Maintain accurate and up-to-date ticket statuses, regularly reviewing systems for outstanding jobs
- Liaise with suppliers to expedite orders and resolve discrepancies, acting as a single point of contact with Accounts
Person Specification
- Experience within Facilities Management (preferred)
- Experience using CAFM systems and reporting tools
- Proven experience of working effectively within a team environment
- Strong administrative skills with excellent attention to detail
- Proficient in Microsoft Office, including Outlook, Word and Excel
- Good organisational and time management skills
- Clear and professional communication skills, both written and verbal
- Ability to manage multiple tasks and priorities in a fast-paced environment
