A helpdesk administrator

We are currently recruiting for an experienced Helpdesk Administrator to join a busy Estates Maintenance team on an initial 4-month contract.

This is a fast-paced role where you will act as the first point of contact for estates maintenance enquiries, providing professional and efficient support to customers, clients, engineers and internal teams. The successful candidate will be comfortable managing a high volume of calls and emails while accurately logging and coordinating work through a CAFM system.



Key Responsibilities

  • Act as the first point of contact for estates maintenance enquiries, dealing with all requests politely, professionally and efficiently.
  • Receive and respond promptly to maintenance requests via telephone, email and the CAFM system.
  • Log, manage and track maintenance requests and support tickets through to resolution.
  • Coordinate work orders and liaise closely with engineers, technicians, supervisors and internal departments.
  • Escalate complaints and complex issues appropriately to Technical Supervisors, the Estates Maintenance Manager or Engineers.
  • Check and, where appropriate, amend labour times, materials and other information recorded against work orders.
  • Process site access requests and provide relevant Risk Assessments and Method Statements to engineering teams.
  • Maintain the absence planner and update PDA/Maximo diverts for holidays, sickness and other periods of absence.
  • Work closely with scheduling and dispatch teams to ensure engineer availability is accurately reflected within the relevant systems.
  • Provide general administrative support as directed by the Administration Team Leader.
  • Help ensure all enquiries and work orders are dealt with accurately and within required timescales.


About You

We are looking for someone who is highly organised, IT literate and confident working in a busy helpdesk environment.

Ideally, you will have:

  • Previous helpdesk or facilities/estates administration experience.
  • Experience working with a CAFM system; experience with Maximo/MAS would be highly advantageous.
  • Excellent customer service skills and a professional telephone manner.
  • Strong written and verbal communication skills.
  • Good working knowledge of Microsoft Office, particularly Word, Excel, Outlook and SharePoint.
  • Exceptional organisational skills with the ability to multitask and prioritise effectively.
  • The ability to remain calm and professional while working under pressure in a high-volume environment.
  • Strong problem-solving skills, with the ability to accurately assess enquiries and direct them to the appropriate resource.
  • Excellent attention to detail and accuracy when updating systems and work orders.
