Administrative Assistant

Salary – Competitive, dependent on experience
Hours – 40 hours per week
Location – Bletchley or Northampton

As an Administrative Assistant at FCC Environment, you will provide administrative support to the Collections Contract portfolio, ensuring the smooth running of both finance and operational administration activities. You will support contract performance through accurate record keeping, invoice processing, customer communication and general office administration.

This vacancy is for a full-time position, working 40 hours per week.

What will you be doing?

- Answering telephone enquiries and relaying messages in a timely and professional manner.
- Maintaining contract spreadsheets and administrative records on a daily basis.
- Processing revenue invoices and supporting administration through company accounting systems.
- Processing purchase invoices and assisting with purchase order administration.
- Taking receipt of purchase orders and ensuring payment requests are processed correctly.
- Monitoring PPE requirements and arranging orders as required.
- Ordering office supplies and equipment when needed.
- Maintaining site filing systems and ensuring IMS documentation is up to date.
- Taking meeting minutes and producing accurate written records when required.
- Liaising with local authority waste officers regarding operational matters and customer queries.
- Supporting the tracking of employee absence and holidays.
- Assisting the Collections Finance team with data entry, reporting and invoice investigations.
- Undertaking other reasonable administrative duties to support contractual and operational requirements.

What are we looking for?

- Previous administrative experience in a busy office environment.
- Strong organisational skills and excellent attention to detail.
- Good communication skills with the ability to build positive working relationships.
- Customer-focused approach with the ability to respond effectively to enquiries.
- Ability to prioritise workloads, meet deadlines and manage competing demands.
- Good IT skills, including Microsoft Office applications.
- Experience working with spreadsheets, databases and email systems.
- Ability to work on your own initiative as well as part of a team.
- Flexible, proactive and willing to learn.
- Commitment to health, safety and company procedures.
