Job Title: Administrator
Location: Ipswich Hospital, Heath Road, Ipswich, IP4 5PD
Hours: 37.5 hours per week – Mon- Fri 9am – 5pm / 8am – 4pm
Trust Location: East Suffolk & North Essex NHS Foundation Trust
Role type: Temporary for 8 weeks with possibility of extension

Duties to include but not limited to:
- Provide reception cover for The Ipswich Heart Centre and the Cardiac MRI Service.
- Organise and book all procedures, e.g., Angios, PCI, Pacings, Cardioversions and Echoes.
- To record outcome of patient attendance, update and maintain the Epic hospital system, dealing with any data quality issues that may arise.
- Deal with all internal/external mail for bookings/referrals, processing routine correspondence.
- Deal with all queries for appointments, reports, etc., from patients, relatives, GP’s, Consultants and Ward Staff, communicating by telephone or letter.
- Ensure that all matters of administration are dealt with effectively, especially those where liaison with other Departmental Staff both technical and professional and GP surgeries as necessary.
- Operate a comprehensive filing system for referrals for all cardiology bookings and ensuring all case notes are available for clinics.
- To ensure the efficient, accurate and timely recording of data.
- To ensure clinic sessions are booked efficiently to maximise capacity.
- To provide cover for organising and planning test appointments using the electronic diaries on the Epic hospital system. Print out and despatch letters to patients and GP surgeries.
- Cancel and re-book appointments as required
- Contacting patients by phone to arrange appointments.
This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

- Knowledge of the systems used, to effectively complete your role to the highest standard at all times
- A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
- Organised individual with experience of working in a complex environment
- Competent with Microsoft office programmes
- Excellent telephone manner
- NHS experience (essential)
- Good general computer literacy
