Key Responsibilities
- Acting as the first point of contact for landlords, tenants, contractors, suppliers, and visitors.
- Handling incoming telephone calls, emails, website enquiries, and face-to-face enquiries in a professional and efficient manner.
- Managing the tenancy process from instruction through to completion, including tenancy agreements, check-ins, inspections, and check-outs.
- Preparing and maintaining accurate property files, tenancy documentation, inspection reports, and financial records.
- Liaising with landlords, tenants, contractors, and suppliers to coordinate maintenance and property-related matters.
- Scheduling and managing contractor works, ensuring jobs are completed within agreed timescales.
- Conducting property inspections and preparing associated reports.
- Producing professional correspondence for landlords and tenants.
- Maintaining property databases, records, keys, certificates, and compliance documentation.
- Processing rental payments and maintaining accurate financial records in accordance with company procedures.
- Updating property details and marketing information on internal property management systems.
- Resolving issues and disputes professionally and effectively to achieve positive outcomes for all parties.
- Supporting colleagues across the business and contributing to a collaborative team environment.
About You
The ideal candidate will possess:
- Previous administration experience, ideally within property, lettings, estate agency, or a customer service environment.
- Excellent organisational skills and strong attention to detail.
- Outstanding verbal and written communication skills.
- A professional and customer-focused approach.
- The ability to manage multiple priorities and work effectively under pressure.
- Good IT skills and confidence using property management or CRM systems.
- The ability to build strong working relationships with a variety of stakeholders.
- A proactive and positive attitude with a willingness to support the wider team.
