Pay Rate: £13.84 per hour
Hours of work: 37 hours per week, Monday - Friday, 9am-5pm
Location: ARU Innovation Centre, Harlow Science Park, Essex
This role is not open to students.
Job Purpose:
To provide administrative support for the Innovation Centre and Centre occupants as well as being a welcoming and comprehensive first point of contact for all business and commercial enquiries made at the Reception Desk; maintaining the highest standards of customer care.
Responsibilities:
1. Provide secretarial and administrative support for the Innovation Centre Manager and effective liaison with colleagues, external companies, professional bodies and regional partners.
2. Maintain accurate and secure record keeping in either electronic or paper format.
3. Organise and service all Management Committee and other management meetings for the Innovation Centre.
4. Deal professionally and effectively with all enquiries directed to the Reception desk, in person, by post, telephone, email or web; ensuring they are dealt with satisfactorily, or referred to a more appropriate colleague; ensuring a first class customer experience.
5. Conduct tours for prospective customers and visitors as and when required.
6. Liaise with appropriate colleagues in order to provide a helpful and accurate, first-line enquiry advice service to all business and commercial customers and partners directed to the Innovation Centre.
7. Provide a basic administrative support service for occupants and associates of Innovation Centre. Produce documentation to required standards and within agreed deadlines.
8. Develop a working knowledge of our research, innovation and knowledge exchange offering to help assist to successfully deal with initial enquiries.
9. Become conversant with our Customer Relationship Management system to manage enquiries and contacts. Have an understanding of, and be able to input, retrieve and interpret information following appropriate and continued training.
10. Manage the stock and validity of all internal and external promotional materials, ordering and processing more as and when necessary.
11. Attend showcase events and open days to showcase our innovation centres as and when required.
12. Contribute to the continuous development of our proactive, effective and high quality customer focussed service within the innovation centres.
13. Comply with Data Protection Act 2018 and GDPR requirements in all working practices maintaining confidentiality, integrity, availability, accuracy, currency and security of information as appropriate. Take personal responsibility for all personal data within own working environment.
14. Such other duties temporarily or on a continuing basis, as may reasonably be required, commensurate with your grade.
Person Specification:
- Experience of working in an administrative support role
- Experience of working in a customer services, reception or business support role
- Accurate and efficient administrative skills
