Bid and Business Support Coordinator

Location: Thetford
Salary: £28,000–£30,000 per annum
Hours: Monday to Friday, 38.75 hours per week
Working hours: 8:15am–5:00pm, with a one-hour lunch break

The Role

We are currently recruiting for a Bid & Business Support Coordinator to join our clients’ Thetford office.

This is a varied coordination role supporting the identification and management of new business opportunities. You will monitor tender portals and shared inboxes, maintain accurate opportunity trackers, coordinate information across the business and assist with reporting, compliance and marketing activity.

The role would suit someone with experience in bid administration, tender support, project coordination, commercial administration or general business support.

Key Responsibilities

  • Monitor shared inboxes and online portals for new tender opportunities, updates and correspondence.
  • Ensure opportunities and important communications are shared with the appropriate internal teams.
  • Maintain an accurate tracker of expressions of interest, tenders, successful bids, unsuccessful bids, declined opportunities and live projects.
  • Support the development and maintenance of the company’s pipeline of future work.
  • Coordinate information from different departments to support tender submissions and business opportunities.
  • Update internal and external documents, brochures, user guides and supporting materials.
  • Assist with KPI reporting, audits, governance requirements and compliance actions.
  • Monitor outstanding actions and follow up with colleagues to ensure deadlines are met.
  • Attend relevant meetings, webinars and industry events, either virtually or in person.
  • Build positive working relationships with clients, external organisations and internal departments.
  • Help communicate processes, requirements and new opportunities across the business.
  • Support the preparation of case studies, website content, brochures and fact sheets.
  • Assist with LinkedIn posts and other marketing content promoting completed projects and business achievements.
  • Help coordinate preparations for exhibitions, conferences and industry events.

About You

You will be organised, comfortable managing detailed information and able to communicate confidently with people across different departments.

You should have:

  • Previous experience within administration, business support, bids, tenders, projects or commercial coordination.
  • Experience maintaining trackers, spreadsheets, databases or management systems.
  • Confidence using Microsoft Office, particularly Word, Excel and Outlook.
  • The ability to manage multiple tasks and deadlines.
  • A proactive approach to chasing information and completing outstanding actions.
  • Experience preparing reports or working with performance information and KPIs.
