An opportunity has now opened for a Bid Coordinator to become part of its established frameworks and work-winning team in the South West.
Based from Plymouth, Exeter or Bristol with hybrid working, you’ll play an important role in keeping bids organised, compliant and moving towards submission.

Where you’ll make an impact This isn’t simply a document production position. You’ll be involved throughout the proposal process, coordinating contributors, managing information and making sure submissions meet both client expectations and internal quality standards.

As Bid Coordinator, you will:
  • Coordinate the preparation of tenders, PQQs, expressions of interest, case studies, presentations and other proposal documentation.
  • Work across the proposals team and wider business to gather information and bring individual contributions together into cohesive submissions.
  • Structure and format documents to create professional, consistent and easy-to-navigate proposals.
  • Ensure submissions remain aligned with company brand guidelines.
  • Produce graphics and visual content to support key messages within proposals.
  • Check client requirements and ensure they are fully addressed within each response.
  • Prepare presentation slides and supporting documentation.
  • Manage your workload around submission dates and ensure key deadlines are achieved.
  • Attend bid kick-off meetings and progress reviews.
  • Carry out quality reviews of your own work and proposals prepared by colleagues.
  • Proofread submissions, checking grammar, spelling, punctuation, clarity, structure, formatting and overall readability.
  • Organise the production of hard-copy submissions when needed.
  • Maintain the knowledge management system, capturing strong bid content, supporting evidence and reusable information for future submissions.
  • Use feedback from successful and unsuccessful bids to identify lessons and improve future responses.
  • Contribute to post-submission reviews with the wider team.
  • Maintain project, framework and opportunity information through Dynamics 365, supporting business development and governance.
  • Keep client portal records and access information organised and up to date.
  • Manage tender portals, including downloading documents, uploading completed submissions and coordinating client communications within deadlines.
What will you bring?

The business is looking for a Bid Coordinator who understands the demands of work winning within construction or infrastructure and can bring organisation and attention to detail to a busy proposals environment.

You’ll need:
  • Previous proposals or bidding experience gained within construction or infrastructure.
  • GCSE-level education or equivalent in English and Maths.
  • Strong skills across Microsoft Word, Excel and PowerPoint.
  • Experience using Adobe and graphical packages such as InDesign, Visio and Illustrator.
  • Proposals training such as Shipley or Winning Bids Masterclass.
  • Strong proofreading and document production skills.
  • The organisation to manage competing priorities and fixed submission deadlines.
It would also be useful to have:
  • Advanced knowledge of InDesign, Visio or Illustrator.
  • Experience working with a knowledge management system.
  • Previous exposure to CRM platforms such as Dynamics 365 or Salesforce.

You can be based from Plymouth, Exeter or Bristol, combining time in the office with hybrid working. The salary is £45,000 – £55,000, supported by a comprehensive package that includes:
