An established UK organisation is looking for an organised and personable Booking Coordinator to join their team. This is a varied administrative role involving stakeholder communication, data management and customer service.
The successful candidate will be responsible for coordinating a number of allocated screening, acting as the key point of contact for external stakeholders and ensuring everything is organised and delivered smoothly.
Key Responsibilities
- Coordinate allocated screening from initial booking through to completion.
- Act as the main point of contact for families, schools, clients and other external stakeholders.
- Liaise with internal teams and staff to ensure all arrangements are confirmed and communicated clearly.
- Manage online booking systems and maintain accurate records.
- Maintain and update spreadsheets, calendars and databases with all booking and participant information.
Create promotional materials using Canva.
- Prepare and distribute letters and other documentation, including mail merges.
- Manage waiting lists and email distribution lists, keeping records accurate and up to date.
- Coordinate the preparation of equipment and supplies required for each booking.
- Produce accurate information and data sheets for use by the team.
- Respond to telephone and email enquiries in a professional and timely manner.
- Provide administrative support to other members of the team when required.
- Maintain accurate physical and digital records in line with data protection and information security requirements.
- Provide general administrative support across the wider team as required.
About You
- We are looking for someone who is highly organised, reliable and confident dealing with people at all levels. You will need to be comfortable managing multiple priorities while maintaining a high level of accuracy and attention to detail.
- The ideal candidate will have:
- Excellent written and spoken English.
- A confident and professional telephone manner.
- Strong administration and organisational skills.
- Excellent attention to detail.
- The ability to manage multiple tasks and changing priorities.
- Strong interpersonal and stakeholder management skills.A calm, patient and empathetic approach when dealing with sensitive or difficult enquiries.
- Confidence using Microsoft Office, particularly Outlook, Word and Excel.
- The ability to work independently while also being a supportive team member.
- A strong understanding of confidentiality and the importance of handling personal information appropriately.
- A flexible and helpful approach to supporting the wider team.
