Job Title: Business Support Officer
Location: Estates & Facilities Hub, Unit 5C, Seven Stars Industrial Estate, Quinn Close/Wheler Road, Coventry, CV3 4LH
Hours: 15 hours per week, Monday & Friday, 8:30am – 4:30pm
Duration and pay: £12.71, we expect this placement to last up to 3 months
Are you an organised and proactive administrator looking for a part-time opportunity within a busy and supportive team? We are seeking a Business Support Officer to provide essential administrative, transactional, and operational support across our Estates & Facilities department.
What you’ll be responsible for:
· Providing administrative, transactional, and operational support across various Estates & Facilities workstreams.
· Collating, reproducing, and distributing documents, reports, meeting papers, and presentations for senior management meetings, including Executive Team Meetings, Trust Leadership Team meetings, Board Committees, and Board meetings.
· Supporting financial administration processes, including raising purchase orders, receipting goods, and assisting with year-end financial procedures.
· Providing administrative support for the Trust's Car Parking Management function.
· Supporting Facilities Management systems, including Access Control Systems.
· Handling telephone enquiries professionally and directing requests appropriately.
· Managing departmental correspondence, including post distribution and user information alerts.
· Maintaining effective filing systems and records within the Estates & Facilities administration office.
· Ordering stationery supplies, monitoring stock levels, arranging storage, and ensuring office supplies are well organised and readily available.
You’ll learn the following whilst working at the trust:
1. An in depth understanding of the roles and responsibilities involved in working within the NHS
2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times
3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
You’ll have the following skills/experience:
· Previous experience in an administrative or business support role.
· Strong organisational skills and attention to detail.
· Excellent communication and customer service skills.
· Confidence using Microsoft Office applications, including Word, Excel, Outlook, and Teams.
· The ability to prioritise workload and work independently.
· A professional and flexible approach to supporting a busy department.
This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.
