About the Opportunity

Working for an established waste management and recycling business currently undergoing significant growth, investment, and restructuring.

We are completely refurbishing our head office and improving many of our internal systems, processes, and ways of working. This is an excellent opportunity to join the business at an exciting stage of development and become a key part of the office team.

This is not a traditional reception-only role. We are looking for someone who can provide strong day-to-day business support while also helping us improve how the office is organised, how documentation is controlled and how information is shared across the business.

Key Responsibilities

The role will include:

  • Managing incoming telephone calls and directing enquiries to the appropriate department
  • Monitoring and responding to general office and business support emails
  • Welcoming visitors, clients, contractors, and suppliers
  • Managing reception and front-of-house duties
  • Organising meeting rooms, appointments, and internal meetings
  • Ensuring meeting rooms and communal office areas are presented professionally
  • Managing post, deliveries, goods received and outgoing correspondence
  • Ordering office supplies and maintaining appropriate stock levels
  • Supporting the management team with general administration and secretarial duties
  • Assisting with internal and external audits
  • Maintaining accurate documentation, records, and filing systems
  • Supporting document control across the business
  • Helping to create and maintain structured folders and information within Microsoft Teams
  • Ensuring documents are stored correctly, easy to locate and kept up to date
  • Supporting the implementation of improved internal systems and procedures
  • Helping maintain staff directories, company information, and business records
  • Assisting with preparation of reports, spreadsheets, documents, and correspondence
  • Supporting different departments with administration when required
  • Helping coordinate meetings, visitors, training, and internal events
  • Taking ownership of general office organisation and identifying where improvements can be made

Document Management & Microsoft Teams

A particularly important part of this role will be document management and Microsoft Teams.

We are looking for someone confident in:

  • Creating logical and well-structured filing systems
  • Managing shared folders and documents
  • Implementing document naming and version-control processes
  • Keeping documentation current, organised and accessible
  • Setting up and maintaining Microsoft Teams channels and folders
  • Helping colleagues use Teams in a consistent and structured way
  • Supporting the movement away from fragmented or duplicated records
  • Maintaining audit-ready documentation

Previous experience in document control, quality systems, or working in an audit-driven environment would be highly advantageous.

Skills & Experience

The ideal candidate will have:

Strong Microsoft Teams experience

Excellent Microsoft Office skills, particularly Excel, Word, and Outlook

Strong document management and organisational skills

High attention to detail

Excellent written and verbal communication

Confidence dealing with clients, suppliers, and senior management

Strong administration skills

Ability to prioritise and manage multiple tasks

Good judgement and initiative

A professional and welcoming manner

Confidence working independently and taking ownership of tasks

The ability to identify improvements rather than follow existing processes

Experience working in a fast-moving office environment

The Person We Are Looking For

We are looking for someone who enjoys variety, takes pride in being organised and likes bringing structure to an office environment.

The right person will be practical, proactive, and comfortable getting involved in different areas of the business. They should be someone who notices when something could be improved and is willing to help put a better system in place.

We'd especially welcome someone looking to move beyond a traditional reception or administrative role and grow with the business.

The successful candidate will have the opportunity to:

Join an established company at a significant stage of its development

Work from our newly refurbished head office

Become involved in improving systems and processes across the business

Gain exposure to multiple departments and areas of the company

Develop broader business support and administration experience

Take on increased responsibility as the role develops

Build a longer-term career within  Group

This is a great opportunity for someone who wants to make a genuine contribution, develop their skills and grow alongside the business.
