Business Administrator / Commercial Assistant

Working Hours: Full-time

An excellent opportunity has arisen for a Business Administrator / Commercial Assistant to join an established construction business. This is a varied role supporting both the office and site teams, with a strong focus on commercial administration, tenders, compliance and general business support.

This would suit an experienced administrator who is highly organised, confident dealing with multiple stakeholders and ideally has experience within construction, engineering, plant or a similar environment.

The Role

Working closely with the site and commercial teams, your responsibilities will include:

  • Providing general administration and support to site and office teams.
  • Maintaining accurate databases, records and project documentation.
  • Managing supplier approval documentation, audits and ISO-related administration.
  • Coordinating council permits, welfare, skips, hire requirements and other site requirements.
  • Maintaining delivery notes, collection notes, vehicle records and other site documentation.
  • Managing diaries, arranging meetings and taking minutes where required.
  • Supporting IT requirements and liaising with external IT providers.
  • Preparing internal H&S communications, bulletins and newsletters.
  • Updating website and social media content, including project news and case studies.
  • Preparing and securely recording CDM files on project completion.
  • Supporting external ISO audits and completing internal audits across ISO 9001, 14001 and 45001.
  • Managing tender invitations, submissions and tender documentation.
  • Assisting with bids, PQQs and ESPD submissions, ensuring documentation is complete and professionally presented.
  • Maintaining client and tender logs, tracking submissions and producing reports.
  • Supporting the commercial team with supplier and subcontractor quotations and purchase orders.
  • Assisting with business development and identifying new client and market opportunities.
About You

The successful candidate is likely to have:

  • Previous experience in a business administration, commercial administration or construction-related role.
  • Excellent organisational and document management skills.
  • Strong attention to detail and the ability to manage multiple priorities.
  • Good communication skills and confidence dealing with site teams, suppliers, subcontractors and clients.
  • Good IT skills and confidence using Microsoft Office and database systems.
  • The ability to work independently while supporting a wider commercial and operational team.
  • Experience of tenders, PQQs/ESPDs, ISO or construction administration would be advantageous.

This is a varied position offering the opportunity to become a key part of the administration and commercial function of an established construction business.
