Are you an organised, creative, and proactive administrator looking to make a real difference in the Early Years community? We are seeking a dedicated Business Support Officer to manage administrative functions, support outreach initiatives, and ensure the smooth day-to-day operation of the Hub.
About the Role
As a Business Support Officer, you will be key to establishing and operating effective administrative systems to enhance our team's performance. You will work closely with the Hub Manager, the Senior Leadership Team, and local families to deliver high-quality support across our services.
Key Responsibilities
- Hub Administration & Operations: Coordinate day-to-day office tasks, maintain efficient office spaces, manage stock levels, and organize safety procedures (including fire drills).
- Database & Information Management: Keep databases (such as Synergy and Family) fully updated with child records, medical plans, waiting lists, fee amounts, and attendance records.
- Outreach & Communication: Assist with outreach for new families, help organize public events, manage parent communications (website, email, text lists, newsletters), and design attractive publicity materials.
- Financial & Business Duties: Keep clear expenditure records, process payments, and support forest school and center account tracking.
- Front of House & Reception: Ensure reception remains immaculate and welcoming, manage inquiries, answer phones, and display current flyers.
- Teamwork & Leadership: Support volunteers, attend and minute key meetings, and deputize for the Senior Leadership Team on administrative duties when necessary.
What We Are Looking For
Qualifications & Experience:
- Education/Qualification: Level 3 qualification in Education or Administration is desirable.
- Administrative Background: Substantial experience working in a fast-paced administrative and financial environment.
- System Design: Proven ability to create and implement administrative systems as effective management tools.
- IT Proficiency: Strong working knowledge of standard software (Word, Excel, Windows) and eagerness to learn specialized databases (e.g., Synergy, Family, E-start, Cedar).
- Outreach & Extended Services: Experience in outreach, partnership working, and supporting extended service planning or monitoring.
Skills & Knowledge:
- Communication & People Skills: Outstanding interpersonal and written communication skills with the tact and sensitivity required when engaging with parents, staff, and external agencies.
- Organizational Mastery: Strong initiative, foresight, and time-management skills to maintain accurate records and hit deadlines.
- Commitment to Values: Understanding of Data Protection legislation, Equality & Diversity, and Hackney core values.
