Role Overview

The primary focus of this role is the accurate, high-speed recording and production of minutes for Child Protection Conferences and Complex Children's Panels. Operating within the Panels & Conferences Business Support Hub, the post-holder will spend the majority of their time attending complex, sensitive multi-agency meetings to capture detailed discussions, safeguarding action points, and official decisions. Secondary duties involve end-to-end administrative coordination to ensure the smooth, deadline-driven delivery of the panel service.

Key Responsibilities

  • Minute Taking (Core Duty): Capture, draft, and finalise accurate, concise, and high-quality minutes for complex, high-stakes child protection meetings and specialised panels, often under tight turnaround times.
  • Diary Coordination: Cross-check and reconcile multiple complex staff and partner-agency diaries to schedule conferences and panels efficiently.
  • Admin & Documentation: Draft and distribute formal meeting invitations, agendas, and pre-meeting paperwork with high attention to detail.
  • Data Management: Utilise Microsoft Excel & Word to maintain tracking logs, update meeting schedules, and monitor compliance deadlines.
  • Professional Communication: Act as a clear, articulate point of contact for social work teams, panel chairs, and external agency partners.

Required Skills & Experience

  • Expert Minute Taker: Substantial, proven experience taking real-time minutes in highly complex, confidential, or safeguarding environments.
  • Deadline-Driven & Resilient: Ability to remain focused under pressure, producing precise documentation to meet strict statutory deadlines.
  • Advanced Scheduling: Skilled in managing multi-calendar logistics across varied professional diaries.
  • Technical Skills: Proficient in Microsoft Excel and administrative software for record-keeping and data tracking.
  • Attention to Detail: Exceptional written accuracy, spelling, and grammar.

Please note this role will initially be for a two-month period.
