BDM is a third-party logistics company specialising in the Beauty & Fragrance sectors, supporting well-known brands with high street retail distribution and D2C fulfilment.
We are looking for an organised, proactive and customer-focused Client Administrator to join our team at our new Nottingham facility.
The role is employed by BDM and will sit within our wider administration team, reporting to the Office Manager. Alongside the day-to-day responsibilities of a BDM Client Administrator, approximately 50% of the role will be dedicated to supporting one of our key clients, working closely with their teams to coordinate customer orders, deliveries, stock and inbound activity.
This is an excellent opportunity for someone who enjoys a varied operational role, building strong relationships with both customers and internal teams, and taking ownership of tasks from initial request through to completion.
Key responsibilities
BDM Client Administration
- Monitor incoming emails, responding to and actioning client requirements promptly.
- Process customer orders and amendments through our internal Marpacs system.
- Work closely with the warehouse management team to understand order progress and follow orders through to completion.
- Liaise directly with transport companies to arrange and coordinate deliveries.
- Produce carton labels, including barcodes and project codes where required.
- Prepare export documentation for overseas shipments.
- Produce delivery notes for next-day delivery requirements.
- Arrange and prepare paperwork for FedEx shipments.
- Produce additional reports and documentation depending on customer and project requirements.
Dedicated Client Support
As part of the role, you will provide dedicated administrative and operational support to one of our key clients, including:
- Creating and maintaining customer accounts within Salesforce.
- Processing customer orders and maintaining accurate order information in Salesforce.
- Validating customer orders prior to processing.
- Reviewing customer delivery requirements and coordinating delivery slots.
- Managing customer claims and queries, ensuring issues are followed through to resolution.
- Reviewing order allocations where stock availability is constrained and working with relevant teams to support appropriate solutions.
- Responding to queries relating to stock availability and delivery tracking.
- Coordinating and monitoring stock held in quarantine or alternative storage locations.
- Raising purchase orders for inbound deliveries following receipt of packing lists from the client’s Head Office.
- Reconciling inbound packing lists against order requirements.
- Coordinating and monitoring inbound delivery schedules.
- Acting as a primary point of contact for administrative queries relating to customer orders and inbound deliveries.
- Owning and managing the Operations Support mailbox, working to a target response time of 24 hours.
About you
We are looking for someone who is highly organised, commercially aware and comfortable working in a fast-paced logistics environment. You will need to be able to manage multiple priorities, communicate confidently with customers and internal teams, and take ownership of tasks through to completion.
Essential skills and experience
Strong organisational and administrative skills.
Good working knowledge of Word, Excel, Outlook and the internet.
Strong written and spoken English.
Good level of numeracy and attention to detail.
Confident communicating with customers, suppliers, transport providers and internal teams.
A proactive, flexible and enthusiastic approach to work.
Ability to prioritise workload and manage multiple requests simultaneously.
Strong attention to detail, particularly when processing orders, documentation and customer information.
Previous experience within logistics, customer service, administration or a similar operational environment would be advantageous.
Experience with Salesforce or similar systems would be beneficial, although training will be provided.
Experience with Marpacs is advantageous, with full training provided.
