Co-curricular and Operations Administrator
Contract Type: (permanent, term time + 5 weeks)

This is a role for someone who can organise a busy co-curricular programme, keep the master calendar accurate across the school year, and deliver smooth operations for major school events. You will provide direct executive and administrative support to the Deputy Head (Co-curricular) and the wider Co-curricular leadership team, ensuring fixtures, room bookings and staff allocations run without friction.
What you'll be doing

Provide high-quality, confidential executive support to the Deputy Head (Co-curricular): diary management, correspondence, meeting administration and preparing papers.

Manage the master school calendar using SOCS: maintain accurate schedules, resolve clashes, coordinate room bookings and plan 12–18 months ahead.

Administer co-curricular participation records, fixtures and termly awards; maintain budget monitoring information and collate evidence for inspections.

Support staff co-curricular allocations and duty rotas each term, working with HR on appraisal administration and staffing queries.

Deliver administrative and on-the-day operational support for major events, including Speech Day, Open Days and recruitment masterclasses.

Maintain accurate data in school systems and support parent/staff communications related to co-curricular activities.

Advanced IT and data-management skills and confidence learning new systems.

Ability to prioritise effectively, work independently and remain composed under pressure.

Strong interpersonal skills: approachable, adaptable and able to collaborate with staff at all levels.

Absolute discretion when handling confidential information.
Desirable

Experience of SOCS and/or iSAMS and Google Workspace.

Administrative experience within an independent, boarding or senior school environment.
About the team or department
You will work closely with the Deputy Head (Co-curricular) and provide operational support across the leadership team, HR and teaching staff responsible for co-curricular provision. The role sits at the centre of school life, linking co-curricular scheduling and event delivery.
