Commercial Co-ordinator

The Role

The Commercial Coordinator will support the Commercial Manager with the ‘people’ side of the Commercial team by managing the central commercial inbox, commercial communications, centrally held commercial documents and distribution lists. This position will play a vital role in facilitating the onboarding of new members of the commercial team, in addition to aiding in early career management and recruitment. Assisting the team with the roll-out of new systems and process, helping them to monitor and respond to issues and feedback.

Key Responsibilities

  • Co-ordinate the implementation of new processes, ensuring all colleagues receive comprehensive training and support.
  • Assisting with the onboarding of new commercial team members, including the commercial welcome pack, the commercial onboarding document, managing the login requirements and feedback.
  • Organising commercial events for Commercial Leadership
  • Administrator of commercial systems- FastDraft, DocuSign and Payment App.
  • Manage, track and revise the commercial templates and reporting.
  • Understand and communicate key commercial communications to the wider commercial team
  • Maintain a strong relationship with your internal and external stakeholders.
  • Communicate clearly to all levels of the business.
  • Communicating Commercial updates clearly- written and verbal
  • Drive continuous improvement initiatives in commercial processes and tools.
  • Explore and implement new commercial strategies that support sustainable outcomes.
  • Challenge and recommend actions to improve the Commercial function
  • Champion an inclusive working environment that values diversity.
  • Ensure everyone has space to contribute and that all voices are heard.
  • Challenge non-inclusive behaviours and lead by example with inclusive actions and language.
  • Accountable for continued personal development.
  • Organise training requirements for new systems and processes
  • Keeping the commercial function lighthouse page and SharePoint documents updated- including distribution lists, directory and organisation chart updated.
  • Provide guidance and mentorship to the commercial apprentices and graduates. Ensure they receive adequate support from their team, and they are advancing in their learning and development.
  • Drive a culture of continuous improvement in Health & Safety (H&S), ensuring consistent H&S standards are maintained.
  • Ensure completion of a full Induction to H&S in accordance with Company policies, procedures, standards &/or guidance.
  • Ensure adherence to safe working practices including completing audits in line with schedule.
  • Monitor and maintain compliance with the Working Time Directive.
  • Ensure you are compliant with the use of mandatory safety monitoring equipment, near miss reporting and compliance with the company procedures.
  • Maintain H&S standards to enable a zero-accident culture.
  • Actively work with your team, line manager and the H&S Team to improve upon H&S procedures where possible.
  • Report all near misses through the appropriate channel to prevent future accidents.

About You

Essential

  • Experience working in an administration and/or co-ordinator role
  • Ability to challenge constructively
  • Ability to work collaboratively with others to achieve ‘win-win’
  • IT Knowledge – Outlook, Sharepoint, Word, Excel
  • Excellent communication skills

Desirable

  • Experience working in a commercial environment
