We are looking for someone who is customer-focused, organised, proactive and detail-oriented, with the ability to take ownership of their responsibilities and work effectively across different areas of the business.
The Opportunity
We are looking for an experienced and highly organised Customer Operations Administrator to join a dynamic team in Coventry.
This is a varied and hands-on role combining customer service, order administration, warehouse coordination, stock management and import/export administration. You will be a key point of contact for our customers and will work closely with the Operations Manager, Warehouse team, Commercial team, shipping partners and other external organisations to ensure orders and shipments are managed efficiently from start to finish.
The successful candidate will be confident dealing with customers, highly organised, commercially aware and comfortable managing detailed administrative processes. You will need excellent attention to detail and the ability to manage multiple priorities in a busy operational environment.
You will ideally have:
- At least 2–3 years' experience in customer service, customer operations, sales administration or a similar role.
- Proven experience of dealing directly with customers and developing strong professional relationships.
- Excellent telephone and written communication skills.
- Strong organisational and time-management abilities.
- Excellent attention to detail and a high level of accuracy.
- The ability to prioritise and manage multiple tasks in a busy environment.
- A proactive approach to problem-solving.
Key Responsibilities
Customer Service & Order Management
- Act as the first point of contact for customers by telephone and email, providing a professional and responsive service.
- Process customer orders accurately and efficiently.
- Liaise with the Warehouse team to ensure orders can be fulfilled correctly and on time.
- Contact customers regarding out-of-stock products, providing suitable alternative stock suggestions where appropriate.
- Amend orders as required and ensure changes are communicated to the relevant teams.
- Assist customers in identifying suitable products to meet their requirements.
- Provide customers with accurate, product-specific pricing information.
- Manage customer complaints effectively, investigating issues and working towards appropriate resolutions.
- Arrange the return of products where required, including goods affected by picking errors or faulty/damaged items.
- Provide Proof of Delivery (POD) documentation when requested.
