Introduction

We are looking for a Customer Service Administrator to join the team in Poole in this varied and important role. You will provide a combination of customer service and administrative support, helping to ensure the site's customers receive an excellent level of service while supporting the smooth movement of goods both domestically and internationally.

This is a great opportunity for a strong all-round administrator with customer service experience who enjoys variety and working collaboratively across different areas of a business.

Approximately 50% of the role will focus on customer service, with the remaining 50% providing administrative support and working closely with teams across the wider business.

Responsibilities

  • Managing shared customer service and sales inboxes, responding to enquiries promptly and professionally.
  • Answering incoming calls, handling customer queries and directing calls where appropriate.
  • Building and maintaining positive customer relationships.
  • Resolving customer issues and escalating where required.
  • Maintaining accurate customer records and filing systems.
  • Producing and maintaining S&OP reports to support operational planning.
  • Compiling and distributing sales reports, ensuring data is accurate and provided within agreed timescales.
  • Supporting reporting and data analysis requirements across the business.
  • Arranging import and export freight shipments and liaising with freight forwarders, carriers and customs agents.
  • Coordinating shipment schedules to meet customer delivery requirements and resolving freight-related issues.
  • Providing administrative support for import and export customs activities.
  • Preparing, tracking and filing export documentation.
  • Maintaining the company’s customs deferment account.
  • Ensuring customs documentation is accurate, complete and retained in line with legal and company requirements.
  • Supporting compliance with HMRC customs regulations and international trade requirements.
  • Assisting with customs audits and information requests.
  • Supporting continuous improvement initiatives and providing general administrative support to the Customer Service team.

Ideal Skills & Experience

  • Experienced in administration with a strong customer service background.
  • Highly organised, with excellent attention to detail.
  • Comfortable managing a varied workload and competing priorities.
  • Adaptable and able to work effectively across different departments.
  • Confident communicating with customers, colleagues, freight partners and other stakeholders.
  • Proactive, reliable and able to work both independently and as part of a wider team.
  • Comfortable working with data, reports and administrative systems.
  • Ideally experienced in freight, logistics, customs or international trade, although this is not essential.

Most importantly, you will be a practical, well-organised all-rounder who enjoys a varied role and takes pride in delivering excellent customer service.

Salary - £28K - £31K

Hours: Days - Monday to Friday Days - Option for working 7.00am – 3.30pm or 8.00am to 4.30pm.
