Aline Specialists is a brand-new, state-of-the-art specialist orthodontic practice opening in central Winchester in September 2026.

Led by specialist orthodontists, we focus on bespoke, beautifully planned treatments for children, teens and adults who expect the very best.

From the moment a patient discovers us to the moment they leave with their new smile, every detail is carefully designed — and that starts with our Front of House team.

We are looking for an exceptional Front of House / Patient Experience Coordinator to be the face and voice of Aline Specialists.

The Role

You will be the first point of contact for our patients and a vital part of creating a premium, seamless and reassuring experience.

This is not a standard reception role. It is a fast-paced, high-responsibility position at the heart of a flagship specialist practice where your standards, energy and professionalism will directly shape our reputation.

Key Responsibilities

  • Welcome patients in person and on the phone with warmth, confidence and professionalism.
  • Deliver a consistently outstanding patient experience from first enquiry through to treatment completion.
  • Manage diaries efficiently and help fill available appointments effectively and profitably.
  • Answer telephone and email enquiries quickly, compassionately and professionally.
  • Track and follow up new patient enquiries and support conversion of leads into booked patients.
  • Maintain accurate records in the practice management and CRM system.
  • Take payments and prepare, save and email treatment paperwork and related documents.
  • Track referrals, laboratory work and deliveries accurately.
  • Log patient data and report information for management when required.
  • Uphold the values and standards of the business in every interaction.

Who We’re Looking For

The ideal candidate will have a can-do attitude, excellent communication skills and the confidence to build rapport quickly with patients and prospective patients.

You should be naturally warm, highly organised, calm under pressure and able to thrive in a premium, target-aware environment.

Skills and Experience

  • Exceptional verbal and written communication skills.
  • Strong organisational skills and attention to detail.
  • A confident, professional and polished manner.
  • Ability to problem solve and find solutions independently.
  • Comfortable engaging in conversations, building relationships and overcoming objections.
  • Open-minded, proactive and willing to embrace new systems and processes.
  • Fully computer literate and confident using CRM or practice software.
  • Experience in dental, orthodontic, medical, luxury hospitality, high-end retail or customer service roles would be an advantage.
  • Previous sales or treatment coordination experience is preferred.

Dental or orthodontic experience is welcomed, but for the right high-calibre person, attitude, professionalism and patient experience ability matter just as much.

Job Details

  • Job Types: Full-time, Part-time, Permanent
  • Pay: Competitive, depending on experience
  • Expected hours: Up to 40 per week
  • Schedule: Monday to Friday, with alternating Saturdays
  • Work Location: In person, Winchester
