We're looking for a highly organised and proactive Depot Coordinator to support the smooth day-to-day running of our busy operation in Lutterworth. Acting as a key link between employees, managers, agency partners, and external suppliers, you'll provide essential administrative support that helps keep our site running efficiently.

This is a varied role offering exposure to people administration, payroll support, resource planning, reporting, employee engagement, and site coordination within a fast-paced logistics environment.

About the Role

As Depot Coordinator, you will:

  • Support employee lifecycle administration, including onboarding, job changes, absence management, and leavers.
  • Complete Right to Work checks and maintain accurate employee records.
  • Record and monitor attendance, holidays, sickness, overtime, and worked hours using HR and Time & Attendance systems.
  • Produce daily and weekly reports relating to staffing and operational performance.
  • Liaise with agency providers to coordinate labour requirements.
  • Support investigations, disciplinary meetings, and employee engagement activities through note-taking and administration.
  • Manage reception and visitor processes, meeting room bookings, and site communications.
  • Order and control office supplies and operational consumables.
  • Support resource planning and general site administration activities.

Requirements

Required Knowledge & Skills

What We're Looking For

  • Previous experience in an administrative, depot, operations, HR, or logistics support role.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and a commitment to accuracy.
  • Confident communicator who can build relationships at all levels.
  • Ability to handle confidential information professionally.
  • Strong IT skills, including Microsoft Office applications.
  • Experience using HR, payroll, or Time & Attendance systems such as Kronos, UKG, HeRo, iTrent, or similar.
  • GCSEs (or equivalent) and ideally a minimum of two years' experience in a similar role.


Additional Information

  • 40 Hours per week, any 5 over 7 days
  • This role supports a 24-hour operation, so flexibility around working hours may be required.
  • Travel to other Whistl sites may occasionally be necessary.
  • A driving licence and access to your own transport would be advantageous.
