Our client are looking for an experienced Deputy Facilities Officer to support the Facilities Officer in managing the organisation's offices and workplace services across its national estate.
This is a varied role covering facilities management, health & safety, compliance, contractors, suppliers, budgets and office projects, with responsibility for supervising the Facilities Team at the site and deputising for the Facilities Officer when required.
Key Responsibilities
- Support the Facilities Officer with the day-to-day management and maintenance of offices nationally.
- Oversee office services including maintenance, cleaning, security, fire alarms, energy, catering and general facilities.
- Respond to facilities issues and ensure problems are resolved quickly and effectively.
- Support office relocations, refurbishments and redevelopment projects, helping to ensure they are delivered on time and to the required standard.
- Provide advice and support on Health & Safety, risk assessments, environmental matters and statutory compliance.
- Manage and monitor contractors and suppliers, ensuring services are delivered effectively, on time and within agreed budgets.
- Assist with facilities budgets and monitor expenditure, identifying opportunities for cost savings and service improvements.
- Line manage the Facilities Team, ensuring a high standard of support is provided to staff.
- Liaise with staff, tenants, contractors and suppliers to coordinate facilities services and resolve issues.
- Deputise for the Facilities Officer during periods of absence.
About You
We are looking for someone with previous experience in Facilities Management, Workplace Management, Estates or a similar environment.
You will ideally have experience of:
- Managing contractors and external suppliers.
- Health & Safety, risk assessments and statutory compliance.
- Office moves, refurbishments or redevelopment projects.
- Monitoring budgets and supplier expenditure.
- Managing or supervising a facilities/workplace team.
- Dealing confidently with facilities issues and finding practical, cost-effective solutions.
You will be a strong communicator who is comfortable dealing with people at all levels, from internal colleagues to contractors and suppliers. You'll need to be organised, proactive and confident in making decisions, with the ability to remain calm and effective when dealing with problems or competing priorities.
This is an excellent opportunity for an experienced Facilities Coordinator/Officer looking to step up, or an existing Assistant/Deputy Facilities Manager looking for a varied role with genuine responsibility.
