The location of the role is Farnborough (onsite).
The pay rate on offer is £15 - £17 per hour (PAYE)
The duration of the contract is 4 months initially.

Our client within the Defence industry is looking for an administrator to join their team in Farnborough. The role will provide transitional support to migrate and document processes for our clients Business Management System to deliver a change in structure and format of our processes.

The role will support our functions to review existing content and prepare appropriate drafts in the new structure, for approval and migration into the new system.

Responsibilities:

  • Under the direction of the BMS Manager, liaise with content owners and key stakeholders to help develop their content, and produce draft documents in prescribed formats;
  • Ensure the alignment and consistency of content within the BMS, liaising with owners to check and update as and where required.
  • Manage content and configuration of documents to ensure appropriate control, and publication in a timely manner to meet the planned goals;
  • Maintain a map of "old to new" documentation, that will enable the easy understanding of document migration for all of our people.
  • Utilise Microsoft Copilot effectively to support document creation, formatting, content organisation, and administrative processes
  • Upload, organise, and maintain files within SharePoint and our Document Management System.
  • Be a contact for BMS queries on processes during the transition period and provide connectivity between users and owners, to ensure smooth use of the system

Key capabilities and knowledge

  • Formatting of documentation using Microsoft Word, Powerpoint, Excel and PDFs.
  • Excellent attention to detail and accuracy.
  • Strong written and presentation skills focussed on simplifying and effectively communicating requirements required of a process, with a focus on details.
  • Strong interpersonal and communication skills which includes influencing both internal and external stakeholders.
  • Strong problem-solving skills and the ability to use initiative to overcome challenges.
  • Demonstrable ability to work independently, manage competing priorities, and deliver results with minimal supervision.

Key experience and qualifications

  • Proven experience of documentation management and document writing.
  • Experience extracting information from webpages and reformatting content into professionally structured Word documents.
  • Strong proficiency in Microsoft Word, PowerPoint, Excel, and PDF editing tools.
  • Practical experience using Microsoft Copilot to support document production and administration activities.
  • Experience working within regulated, compliance-driven, or process-focused organisations (Desirable)
  • Knowledge of document control principles and information governance best practices (Desirable, not essential)
