Role Overview
We are seeking a highly organised and detail-oriented Document Controller to manage the accurate, secure and efficient control of company and project documentation. The role will support project, design, production, procurement and management teams by ensuring documents are properly recorded, version-controlled, distributed and readily accessible throughout their lifecycle.
Key Responsibilities
· Establish and maintain effective document control procedures, systems and filing structures.
· Manage the receipt, registration, revision, distribution, storage and retrieval of project and corporate documentation.
· Maintain accurate document registers, trackers, transmittals and revision histories.
· Ensure all documents are correctly named, numbered, formatted and version-controlled.
· Monitor document workflows and ensure information is issued to the correct stakeholders within agreed timescales.
· Coordinate document submissions, approvals, reviews and revisions with internal teams, clients, consultants and suppliers.
· Maintain electronic and physical document archives in line with company procedures.
· Ensure obsolete or superseded documents are appropriately controlled and removed from active circulation.
· Support project teams with document management, reporting and administrative requirements.
· Assist with document audits and ensure compliance with internal processes, confidentiality requirements and information management standards.
· Identify gaps, inconsistencies or duplication within documentation and proactively resolve issues.
· Maintain a high level of confidentiality when handling sensitive commercial, employee, project and client information.
Key Skills & Experience
· Previous experience in Document Control, Project Administration, Information Management or a similar role.
· Strong knowledge of document management, version control and document lifecycle processes.
· Excellent organisational and time-management skills with exceptional attention to detail.
· Confident using Microsoft Office, particularly Excel, Word, Outlook and SharePoint or similar document management systems.
· Experience working with project-based, construction, creative, design, engineering or production environments is advantageous.
· Strong communication and stakeholder-management skills.
· Ability to manage multiple priorities and work effectively under deadlines.
· A proactive, methodical and solutions-focused approach.
· Ability to maintain accurate records and handle confidential information professionally.
