- Administering electronic document management systems, including maintaining appropriate access and permissions.
- Working with systems such as ProjectWise, SharePoint and other electronic document management platforms.
- Coordinating the flow of information between project managers, engineers, site teams, clients, subcontractors, and other stakeholders.
- Ensuring drawings, reports, correspondence, technical documentation, and project information are distributed accurately and within agreed timescales.
- Carrying out quality checks and audits to ensure documentation meets company, project, and regulatory requirements.
- Preparing reports relating to document status, compliance, distribution, and project information.
- Supporting project teams with document control procedures and best practice.
- Identifying opportunities to improve document control processes, efficiency, and accuracy.
What We're Looking For:
- Previous experience within Document Control, Information Management, Project Administration, or a similar role.
- Experience within construction, civil engineering, infrastructure, engineering, or another technical environment would be advantageous.
- Understanding of document control principles and the document lifecycle.
- Experience using electronic document management systems, with knowledge of ProjectWise, SharePoint and/or Forma (ACC) advantageous.
- Strong organisational and time-management skills, with the ability to manage multiple priorities.
- Excellent attention to detail and a high level of accuracy.
- Strong written and verbal communication skills, with confidence liaising across project teams and external stakeholders.
- Good working knowledge of Microsoft Office, particularly Word and Excel.
- Ability to work independently while also contributing effectively as part of a wider project team.
- A proactive approach with a willingness to learn new systems and processes.
- Understanding of information security, data protection, and document confidentiality would be beneficial.
