The role

A specialist engineering contractor delivering mechanical, electrical, instrumentation, control and automation projects within the water and wastewater sector is looking to appoint a Document Controller to join their team in Telford.

Balsall Common location is conveniently situated between Coventry and Solihull and is also commutable from Kenilworth, Warwick, Leamington Spa and parts of Birmingham.

This is a predominantly office-based position suited to someone who enjoys working closely with project managers, design engineers and delivery teams. Some flexibility for hybrid working can be offered, although the client would ideally like to appoint someone who is comfortable being based in the office for the majority of the working week.

The successful candidate will manage project documentation and information across a range of multidisciplinary engineering projects, ensuring drawings, technical documents, submissions and project records are accurately controlled throughout the project lifecycle.

Key responsibilities

  • Manage project documentation through an Electronic Document Management System (EDMS) and Common Data Environment (CDE).
  • Upload, download, issue and distribute drawings, specifications, technical submissions and other project information.
  • Maintain document registers, drawing registers, trackers and distribution records.
  • Ensure documents are correctly named, numbered, classified and stored in line with agreed project procedures.
  • Manage document revisions and maintain accurate version control.
  • Check documentation for completeness and compliance before formal issue.
  • Coordinate document reviews, approvals, workflows and status updates.
  • Issue information to clients, consultants, subcontractors and internal project teams.
  • Monitor outstanding documentation and follow up with the relevant stakeholders.
  • Maintain auditable records of submissions, approvals and project correspondence.
  • Support project managers, design engineers, site teams and commercial teams with document retrieval and reporting.
  • Assist with handover documentation, operating and maintenance manuals and final project records.
  • Help implement and maintain consistent document control procedures across multiple projects.

About you

  • Previous experience as a Document Controller, Project Document Controller, Engineering Document Controller, Site Document Controller, Technical Administrator or Project Administrator.
  • Experience managing engineering drawings, technical documents, revisions and approval workflows.
  • A good understanding of Electronic Document Management Systems and Common Data Environments.
  • Strong attention to detail and a methodical, organised approach.
  • Good Microsoft Office skills, particularly Excel, Word and Outlook.
  • The confidence to communicate with project managers, engineers, clients and subcontractors.
  • The ability to manage multiple priorities and maintain accurate records across several projects.
  • Previous experience using Asite would be highly beneficial, although applications are also welcomed from experienced document controllers who have used other recognised EDMS or Common Data Environment platforms.
  • Experience with Autodesk Construction Cloud (ACC), Autodesk Docs or BIM 360 would be beneficial but is not essential.
  • Experience within water, wastewater, utilities, infrastructure, construction, civil engineering, mechanical and electrical engineering or the wider MEICA sector would also be advantageous. Candidates with transferable document control experience from another engineering or construction environment will be considered.

The role will be based primarily from the company’s  Balsall Common office, with occasional travel to another base at Telford, if required. Applicants will not be expected to commute between the two locations every day.
