Document Controller (Part-time)

We are seeking an organised and proactive Document Controller to provide professional administrative support to a busy Technical team. The position will be split between Kins Langley and Hemel Hemstead.

This is a flexible, part-time position of approximately 22.5 hours per week, although final working hours are to be confirmed. The hourly rate is £17.43.

The successful candidate will deliver efficient, professional and customer-focused support, with particular responsibility for document control and the effective coordination of handover information for a fast-paced development scheme.

Key Responsibilities:

  • Issue relevant certification, including Energy Performance Certificates.
  • Liaise with consultants to prepare and obtain framework agreements, health and safety accreditations, and professional indemnity insurance documentation.
  • Maintain accurate development records and provide general administrative support, including preparing meeting minutes, photocopying, filing and archiving.
  • Assist with clearing Building Regulations and NHBC conditions to ensure that Certificates of Mortgage Lender approval are achieved.
  • Review and approve photographs within Zutec, follow up on missing records, and upload or approve air-test documentation and BREL reports.
  • Assist with issuing development drawing packages and maintaining accurate drawing registers.
  • Support the coordination and preparation of planning submission documents.
  • Assist with the appointment and administration of external professional consultants.
  • Prepare and issue health, safety and environmental documentation.
  • Support the Technical team in meeting LEADR requirements.
  • Create and maintain F10 notifications and other statutory documents.
  • Prepare correspondence relating to Section 106 obligations and planning requirements, ensuring alignment with the relevant condition trackers.
  • Monitor and maintain the department’s document-hosting system.
  • Keep HSE manuals, internal records and other required documentation accurate and up to date.
  • Create new filing structures, support changes to document-management systems and archive records when required.
  • Maintain CDM and Building Safety Act trackers.
  • Coordinate with the Technical and Customer Service teams to respond to general enquiries.
  • Prepare and issue statements of incomplete works.
  • Request postal addresses from local authorities and circulate the information to relevant internal teams.
  • Request and distribute MPAN and MPRN information.
  • Prepare, record and coordinate investor handover documentation for Build-to-Rent schemes.
  • Maintain the staff training matrix and arrange training to ensure that required qualifications and certifications do not expire.
  • Manage diaries and provide administrative support for key meetings, including preparing agendas and taking minutes.
  • Undertake any other reasonable duties required to support the needs of the business.
