About the Company

Our client is an established facilities maintenance business with over 20 years of industry experience, providing specialist services to commercial and industrial clients across the UK.

With a growing drainage division and a strong reputation for delivering reliable, high-quality services, the business supports a diverse client base through planned maintenance, reactive works and specialist drainage solutions.

Due to continued growth, they are looking to recruit an organised and proactive Drainage Scheduler to join their established team in Birkenhead. This is an excellent opportunity to join a growing business where you can play an important role in the smooth running of daily operations and the delivery of excellent customer service.

The Role

As Drainage Scheduler, you will be responsible for coordinating planned preventative maintenance (PPM) and reactive drainage works, ensuring engineers and subcontractors are scheduled efficiently and clients receive timely updates throughout the process.

Working closely with operational managers, engineers, subcontractors and clients, you will oversee job scheduling, route planning, emergency call-out coordination and the administration associated with completing works.

This is a fast-paced, varied position that requires excellent organisation, attention to detail and the ability to manage changing priorities. You will need to be confident using job management systems, communicating professionally with customers and keeping accurate records to ensure work is completed efficiently and in line with agreed service levels.

Key Responsibilities

Scheduling & Operational Coordination

  • Coordinate daily and weekly schedules for planned preventative maintenance and reactive drainage works.

  • Allocate jobs to engineers and subcontractors, considering availability, location, urgency and required resources.

  • Manage emergency call-out triage and prioritise urgent drainage issues appropriately.

  • Plan efficient routes and adjust schedules when unforeseen delays, cancellations or operational issues arise.

  • Communicate live updates to clients regarding engineer attendance, arrival times and changes to appointments.

  • Provide operational support to managers, helping ensure workloads are managed effectively and service-level agreements are achieved.

Customer & Subcontractor Management

  • Act as a key point of contact for clients, engineers, subcontractors and suppliers.

  • Respond to customer queries promptly and professionally, maintaining strong working relationships.

  • Coordinate subcontractor attendance and manage purchase orders for subcontractors and suppliers.

  • Maintain clear communication between customers and operational teams throughout the lifecycle of each job.

  • Manage client portals and ensure relevant information is updated accurately and within required timescales.

Administration & Reporting

  • Complete day-to-day administrative duties associated with drainage operations.

  • Check job cards and associated documentation for accuracy and completeness.

  • Manage waste transfer notes and ensure relevant records are maintained.

  • Prepare and issue reports to clients, ensuring all required information is recorded correctly.

  • Prepare completed jobs for invoicing and ensure supporting documentation is available.

  • Process low-value quotations for additional works recommended by engineers.

  • Accurately record all activity, job updates and communications on the company's CRM and job management systems.

  • Work towards agreed KPIs, maintaining high standards of accuracy, productivity and customer service.

Additional Responsibilities

  • Provide out-of-hours support for one week per month, with an additional bonus payable following successful completion of the probationary period.

  • Support the wider operational team where required to help maintain an efficient and responsive service.

About You

To be considered for this opportunity, you should have:

  • At least two years' experience working within a drainage department.

  • A minimum of two years' customer service or customer relationship management experience.

  • Experience using iTouch or a similar job management system.

  • Knowledge of web-based client management systems and customer portals.

  • Good working knowledge of Microsoft Office packages, particularly Outlook.

  • Strong organisational and time-management skills, with the ability to coordinate multiple jobs simultaneously.

  • Excellent verbal and written communication skills.

  • A professional telephone manner and confidence communicating with customers, engineers and subcontractors.

  • Strong attention to detail and the ability to maintain accurate records.

  • The ability to work independently, manage competing priorities and remain calm in a fast-paced environment.

  • A self-motivated, practical and solutions-focused approach.

  • A willingness to provide occasional out-of-hours support as part of a rota.

An enhanced DBS check will be required, with employment subject to satisfactory checks.
