Engineer Planning Administrator

We are seeking an organised and customer-focused Contract Planning Administrator to join a busy operations team. This is an excellent opportunity for an administrator with planning, scheduling, or customer service experience who enjoys working in a fast-paced environment and coordinating multiple tasks.
The successful candidate will support the Contract Planning team with daily operational activities, ensuring customer requirements are met efficiently and within agreed timescales. This role will be hybrid once training has been completed.
Key Responsibilities
- Manage the Contract Planning inbox, responding to enquiries or allocating them to the appropriate teams.
- Schedule and coordinate planned maintenance visits and support remedial planning activities.
- Process and close work orders following engineer visits.
- Issue job documentation and reports to customers.
- Respond to customer requests for information, documentation, certificates, and reports.
- Handle incoming telephone enquiries and direct calls appropriately.
- Check stock availability and update work orders accordingly.
- Confirm resource and scheduling requirements for service incidents.
- Monitor outstanding deliveries and follow up where required.
- Manage customer portals, ensuring documentation is uploaded accurately and invoices are raised as required.
- Provide administration support to the wider Contract Planning team.
- Carry out additional duties as required by the management team.
To be successful in this role, you will have:
- Previous experience in a planning, scheduling, administration, or customer service environment.
- Strong organisational and prioritisation skills.
- Excellent verbal and written communication skills.
- A proactive and flexible approach to work.
- Good IT skills, including experience with Microsoft Office applications.
- Experience using CRM systems; knowledge of Sage would be advantageous.
- The ability to work accurately under pressure and meet deadlines.
