Due to an exciting increase in our property portfolio across both student accommodation and residential lettings, we are looking for an enthusiastic Office Administrator to join a busy and growing estate and lettings team.
This is much more than a traditional administration position. You'll be involved throughout the lettings journey - from advertising properties and arranging viewings to supporting new tenants with their move-in and ensuring all the necessary paperwork, council and utility arrangements are completed.
You'll communicate with a wide range of people every day, including students, private tenants, landlords, social housing contacts, local councils, contractors and utility providers, making this an interesting and people-focused role.
The Role
Working at the heart of the lettings office, you'll help ensure the property portfolio is efficiently managed and prospective and existing tenants receive a professional and friendly service.
Your responsibilities will include:
Creating, uploading and managing property advertisements on OpenRent and other relevant platforms
Ensuring property listings are accurate, attractive and kept up to date
Responding to enquiries from prospective tenants and providing information about available properties
Managing and coordinating the property viewing diary, ensuring appointments are organised efficiently for Louisa
Booking, confirming and rearranging property viewings with prospective tenants
Following up on enquiries and helping move prospective tenants through the lettings process
Preparing tenancy documentation and completing the administration required when a new tenant is secured
Coordinating tenant move-ins and ensuring all necessary documentation is completed
Liaising with local councils regarding council tax and other tenancy-related matters
Communicating with gas, electricity, water and other utility providers when tenants move in or out
Engaging with students, private tenants and individuals within social housing
Maintaining accurate tenant, landlord and property records
Supporting tenancy renewals, move-ins and move-outs
Liaising with landlords, contractors and tenants regarding property matters and maintenance requirements
Helping coordinate maintenance enquiries and ensuring issues are directed to the appropriate person
Providing ongoing administrative and customer service support to tenants throughout their tenancy
Managing telephone calls, emails, filing, data entry and general office correspondence
Supporting the wider team with additional duties as the property portfolio continues to expand
About You
We're looking for someone who is friendly, confident, organised and comfortable dealing with a wide variety of people.
You'll need to be able to manage several priorities at once, whether that's arranging a last-minute viewing, responding to a tenant enquiry, updating a property advert or making sure the paperwork for a new tenancy is ready.
Previous experience within administration, lettings, property, housing or customer service would be beneficial, although a positive attitude, strong communication skills and a willingness to learn are equally important.
You should be comfortable using computers and online systems, have good written and verbal communication skills and be confident speaking with tenants, landlords and external organisations.
