The Vacancy
We're looking for an organised and customer-focused Estates Coordinator to join our Estates Team. This is a key role supporting the day-to-day management of our estates, ensuring customer enquiries are dealt with promptly and estate services are delivered effectively. Working with contractors, partners and colleagues across the business, you'll help maintain safe, clean and well-managed communities while delivering an excellent customer experience.

As our Estates Coordinator, you'll play an important role in supporting estate services across our communities, coordinating customer communications, working closely with contractors, and helping ensure estate-related issues are resolved efficiently. Role purpose
To provide effective administrative and operational support to the Estates Team, ensuring customer enquiries are managed efficiently, contractor actions are tracked through to completion, and estate services are delivered to a high standard.
What’s the role?
Key Accountabilities:
- Manage customer communications, including incoming enquiries and resident updates.
- Raise, monitor and escalate actions with grounds maintenance, cleaning, waste management and other service contractors.
- Support the administration of parking management, block keys and door entry systems.
- Attend contract meetings, take minutes and maintain accurate records.
- Coordinate follow-up works arising from block inspections and track actions through to completion.
- Manage purchase orders and invoicing processes to support effective financial control.
- Support responses to fly-tipping incidents and communicate outcomes to customers.
- Work collaboratively with colleagues across the business, including the Complaints Team, to resolve issues and improve customer outcomes.
What are we looking for?
Essential:
- Highly organised, with the ability to manage competing priorities and maintain accurate records.
- Strong written and verbal communication skills.
- Experience of providing administrative support in a fast-paced environment.
- Confident using Microsoft Office applications, including Outlook, Word and Excel.
- Ability to work effectively with customers, colleagues, contractors and external partners.
Desirable:
- Experience working within housing, estates, facilities or property management.
- Experience liaising with and monitoring contractors delivering estate-based services.
