Event Hire & Logistics Executive
Salary: £28,000, rising to £30,000
Hours: Monday–Friday, 8:30am–4:30pm (37.5 hours)
About the Role
I am currently recruiting for an established events hire company in Glasgow who are looking for an organised, proactive and customer-focused Hire & Logistics Executive to join their busy team.
This is a varied role combining client-facing hire administration, logistics coordination and venue liaison. You will manage the full hire journey from initial enquiry through to collection, ensuring orders are accurate, deliveries run smoothly and clients receive an excellent level of service.
Working closely with the wider team, you will become a key point of expertise within the business, taking ownership of your responsibilities and helping maintain high standards across the team.
Key Responsibilities
Hire & Client Administration
- Handle client enquiries, prepare quotes and convert enquiries into bookings.
- Process and manage hire orders accurately.
- Manage amendments, additions, deliveries and collections.
- Issue quotes, confirmations and relevant hire documentation.
- Build strong relationships with trade clients, venues, caterers and wedding planners.
- Resolve client queries professionally and efficiently.
Logistics & Venue Coordination
- Liaise with venues to confirm orders, delivery and collection arrangements.
- Coordinate access, set-up and collection requirements.
- Identify potential logistical issues early and proactively find solutions.
- Maintain strong relationships with venue contacts across Scotland and beyond.
Courier & Operations Planning
- Book deliveries and collections through courier portals.
- Monitor deliveries and proactively manage any delays or exceptions.
- Prepare daily van runs and operational run sheets.
- Work with the warehouse team to ensure plans reflect vehicle, crew and warehouse capacity.
- Support scheduling for larger upcoming events.
Team Support
- Support and train new and existing office colleagues.
- Help maintain clear processes and documentation.
- Provide holiday cover across other office functions.
- Set a high standard for accuracy, customer service and proactive communication.
About You
We are looking for someone who is:
- Highly organised and detail-oriented.
- Confident, friendly and professional with an excellent phone manner.
- Naturally proactive, with the ability to spot and resolve issues before they become problems.
- Calm under pressure and comfortable managing multiple jobs at once.
- A strong communicator who enjoys working with clients, venues and colleagues.
- Able to take ownership and work independently.
- Experienced in events hire, hospitality, logistics or a busy client-facing coordination role is desirable but not essential.
