Vertical Drop is a growing podcast production agency, and we're now expanding into live events for our shows and their hosts. As the business continues to grow, this is a great time to join and play a key role in developing our events offering from the ground up.
We're looking for a freelance Events Coordinator, based in London, to plan and deliver a mix of live podcast events, from large-scale ticketed shows to smaller, more intimate dinners bringing together hosts and their season's guests. Events will vary depending on demand from our clients, giving you the opportunity to work across a varied and growing events portfolio.
This is a flexible, freelance role. Workload and hours will vary event to event, and you'll work closely with both our internal team and clients to shape the right format for each occasion.
Key responsibilities
- Scope and plan events end to end: from initial brief through to on the day delivery and wrap-up
- Source and manage venues, catering and other third parties required
- Manage event budgets and supplier costs, keeping the agency and client informed
- Liaise directly with clients to understand goals and shape the right event format (large public recording vs. small private dinner, etc.)
- Coordinate logistics for hosts and guests; invites, scheduling, travel/accommodation where relevant, hospitality on the day
- Manage timelines and run of show documents, keeping all stakeholders aligned
- Be present on-site to manage delivery, troubleshoot issues, and act as main point of contact during events
- Support post-event wrap-up: supplier payments, feedback gathering, debriefs
About the events
- Range in scale: large public-facing live recordings/shows through to small private dinners (hosts + season guests, likely under 20 people)
- Frequency: ad hoc, based on client demand - expect this to build over time rather than a fixed weekly cadence
- Location: primarily London, with potential for occasional events elsewhere in the UK
Person spec : Essential
- Proven experience coordinating live events (corporate, hospitality, entertainment, or similar) - comfortable across differing scales
- Strong supplier and venue network in London
- Confident, professional client-facing manner; able to represent the agency directly with clients
- Highly organised, able to manage multiple moving parts and shifting timelines
- Comfortable working flexibly and reactively around event dates, including evenings
- Based in or within easy reach of London, with availability to attend events in person
Working arrangement
- Contract type: Freelance / self-employed, engaged on a per-event or retainer-lite basis
- Rate: £20–£25 per hour depending on experience
- Hours: Variable and event-dependent - includes planning time in the run-up plus on the day hours (which may include evenings/weekends)
- Location: Hybrid - remote for planning/admin, in-person for site visits, supplier meetings and event delivery
