Executive Team Administrator / Office Coordinator

Location: Glasgow
Salary: £32,000
Hours: Full-Time, Permanent



About the Role

We are looking for a highly organised and proactive Executive Team Administrator to provide first-class support to senior leadership and wider teams. This is a varied and fast-paced position where no two days are the same, offering the opportunity to play a central role in supporting business operations, project administration, marketing activities, and office coordination.

The successful candidate will enjoy working in a collaborative environment, have exceptional attention to detail, and thrive when managing multiple priorities.



Key Responsibilities

As a key member of the team, your responsibilities will include:

  • Providing professional executive-level support to senior stakeholders and wider team
  • Preparing, collating, and formatting board packs, monthly reports, presentations, and meeting documentation
  • Producing high-quality correspondence, reports, minutes, and submissions
  • Assisting with a range of HR administration and people-related activities
  • Maintaining internal systems and technology platforms, including compliance and audit reporting
  • Supporting financial administration, including invoicing, purchase orders, expenses, and budget tracking
  • Assisting with fee forecasting and reporting
  • Support team with presentations and tender submission documents
  • Supporting marketing initiatives
  • Cordinating meetings, and arranging appointments via Outlook and Teams
  • Booking travel and accommodation for senior leaders and wider teams
  • Maintaining project records and filing systems to ensure information is accurate and accessible
  • Processing holiday, absence, and valuation documentation
  • Organising team events, celebrations, and company social activities, including annual events


You'll bring:

  • Experience within an administrative, PA, Executive Assistant, or office support role
  • Outstanding organisational skills with the ability to juggle multiple tasks and deadlines
  • Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, and Excel
  • Excellent written communication and accurate typing skills
  • Strong attention to detail and commitment to producing high-quality work
  • Exceptional interpersonal skills and the ability to build relationships at all levels
  • A proactive, solutions-focused approach and willingness to take ownership of tasks
  • A positive, flexible, and team-oriented attitude
  • The ability to handle sensitive information with professionalism, discretion, and confidentiality

Desirable:

  • Experience using Adobe InDesign (training can be provided)
  • Previous exposure to financial administration, reporting, or project support
