The Opportunity

We are working with an established and growing organisation that is looking for an Exhibitor & Commercial Coordinator to join their team.

This is a varied, commercially focused role combining exhibitor and sponsor management, event coordination, administration and business development. You will be responsible for managing relationships with existing exhibitors and sponsors, coordinating their requirements and identifying opportunities to increase participation and develop new commercial relationships.

The role would suit someone who is highly organised, commercially aware and confident dealing with customers and stakeholders, with the ability to manage multiple priorities while ensuring everything is delivered accurately and on time.

You don't need to be a traditional salesperson. The focus is very much on building strong relationships, understanding customer requirements, spotting opportunities and making sure exhibitors and sponsors receive an excellent experience.

What You'll Be Doing

  • Acting as the main point of contact for exhibitors and sponsors, building and maintaining strong relationships.
  • Coordinating exhibition and sponsorship activity from initial enquiry through to the event and beyond.
  • Managing exhibitor applications, sponsorship packages, registrations, contracts and associated administration.
  • Maintaining accurate CRM records, tracking leads, interactions, revenue and pipeline activity.
  • Identifying and following up on new exhibitor and sponsorship opportunities through research and proactive outreach.
  • Researching companies, events and market trends to identify potential commercial opportunities.
  • Supporting the creation of bespoke sponsorship packages and ensuring agreed benefits and deliverables are accurately recorded and delivered.
  • Working closely with Accounts to ensure invoicing information is accurate and provided on time.
  • Managing exhibitor logistics including booth allocation, shipping, AV, furniture and onsite requirements.
  • Producing exhibitor information packs, delegate lists and sponsorship/event content.
  • Supporting exhibitors and sponsors with event platforms and apps, including creating profiles and uploading information.
  • Working closely with Communications on websites, mailshots, digital and printed materials and event content.
  • Attending events where required, acting as the main point of contact for exhibitors and sponsors onsite.
  • Using face-to-face event time to strengthen existing relationships and develop new commercial opportunities.
  • Producing sponsorship progress reports, pipeline updates and commercial statistics.
  • Gathering exhibitor and sponsor feedback and identifying ways to demonstrate and improve ROI.
  • Providing support to the wider events team and assisting with special projects and new systems as required.

About You

We're looking for someone who is commercially minded, organised and genuinely enjoys working with people.

You may already have experience within events, exhibitions, sponsorship, membership, media, conferences or a customer-facing commercial environment, although relevant experience from another sector will also be considered.

You'll ideally have:

  • Experience in a commercial, customer-facing or coordination role.
  • Strong relationship-building and communication skills.
  • Excellent organisation and attention to detail.
  • The ability to manage multiple projects and deadlines simultaneously.
  • Confidence communicating with customers, sponsors, exhibitors and internal stakeholders.
  • A proactive approach to identifying opportunities and following up leads.
  • Strong administrative and data management skills.
  • Experience using CRM systems and Microsoft Office 365.
  • The ability to work independently and take ownership of your workload.
  • A professional and personable approach, with the confidence to represent the organisation at events.

There will also be occasional requirements to work outside standard office hours when attending events.
