Experienced Bookkeeper, Payroll & HR Administrator

Location: Amber-RTM Head Office, Staines-upon-Thames

About the Role

Amber-RTM is an established traffic management company operating across London and the South East. We are seeking an experienced and dependable Bookkeeper, Payroll and HR Administrator to join our Staines Head Office.

This varied role covers bookkeeping, payroll, billing, credit control, cash-flow management, invoice discounting and HR administration.

Key Responsibilities

Accounts and Bookkeeping

  • Maintain accurate accounting records, sales invoices, supplier invoices, expenses and credit notes using Xero.

  • Manage sales and purchase ledgers, including credit control and resolving account queries.

  • Complete bank, customer, supplier and control-account reconciliations.

  • Prepare daily cash-flow reports and short-term forecasts, highlighting potential funding pressures.

  • Support month-end processes, VAT reconciliations and management reporting.

Invoice Discounting

  • Manage the day-to-day administration of the company’s invoice discounting facility.

  • Upload eligible invoices, allocate receipts and monitor availability, limits and disapproved invoices.

  • Reconcile facility accounts, submit reports and respond to verification requests.

Payroll

  • Process payroll accurately and on time using BrightPay.

  • Maintain payroll records for starters, leavers, salary changes, deductions, pensions, holidays and statutory payments.

  • Complete HMRC Real Time Information and workplace pension submissions.

  • Produce payslips, reports, P45s and year-end documents, including calculating final pay and holiday entitlements.

Human Resources Administration

  • Assist with employee onboarding and prepare offer letters and standard employment contracts.

  • Collect starter, payroll, reference and right-to-work documentation.

  • Maintain accurate and confidential employee records and manage leaving formalities.

  • Prepare disciplinary invitations, warnings, outcome letters, termination letters and other HR correspondence under appropriate direction.

  • Arrange and support disciplinary, grievance, absence and performance meetings, including taking accurate notes.

  • Handle sensitive employee matters professionally and confidentially.

Skills, Qualifications and Experience

The successful candidate should have:

  • At least three years’ relevant bookkeeping, accounts or finance administration experience.

  • Strong practical knowledge of Xero and Microsoft Excel.

  • Experience processing payroll using BrightPay or similar software.

  • Good knowledge of sales ledger, purchase ledger, credit control, reconciliations and cash-flow management.

  • Experience managing an invoice discounting or invoice finance facility.

  • Knowledge of PAYE, National Insurance, workplace pensions and payroll requirements.

  • Experience supporting employee onboarding, departures, formal correspondence and HR meetings.

  • Strong accuracy, organisation and communication skills, with the ability to work independently and meet deadlines.

  • AAT Level 3 or above, ICB/IAB qualification, or ACCA/CIMA part-qualification is preferred; substantial relevant experience will also be considered.

Experience within traffic management, construction, highways, logistics or a similar operational business would be advantageous.
