Our client, a leading provider of facilities services in the UK, is seeking a Facilities Administrator to join the RFS Team, overseeing, managing and following through on works requested through to completion.
Job Overview
This is an excellent opportunity for an organised and proactive Facilities Administrator with experience in Facilities Management or Building Services. The successful candidate will play a key role in coordinating reactive and planned maintenance activities, ensuring work requests are efficiently managed from allocation through to completion.
Working closely with engineers, subcontractors, service desks and client representatives, the Facilities Administrator will be responsible for maintaining accurate records, supporting operational processes and ensuring compliance with established procedures and site requirements. The role requires strong organisational skills, attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Print and allocate all maintenance and escorting jobs for southern sites to engineers and subcontractors.
- Allocate all new works RFS requests.
- Close completed RFS jobs, including updating labour hours and job comments.
- Obtain quotations from contractors and suppliers.
- Handle and progress day-to-day enquiries from clients, service desks and contractors.
- Raise and manage purchase orders for subcontractor callouts, engineer requirements and client-authorised works through to invoicing.
- Prepare and issue quotations to clients and Facilities Managers for approval.
- Maintain accurate ticket status updates and regularly review outstanding jobs within the CAFM system.
Person Specification
- Experience within the Facilities Management or Building Services sector.
- Understanding of Planned Preventative Maintenance (PPM) and Reactive Maintenance works.
- Experience scheduling engineers and coordinating subcontractors.
- Experience raising and receipting purchase orders.
- Experience coordinating small works projects.
- Knowledge and experience of CAFM systems and reporting.
- Competent user of a range of computer applications.
- Strong communication, customer service and organisational skills with the ability to manage multiple priorities and adapt to changing requirements.
