Our client, a leading provider of facilities services in the UK, is seeking a Facilities Assistant to work with the Assistant Facilities Manager across all aspects of the Facilities Management service provision.

Job Overview

The Facilities Assistant will play an important role in supporting the day-to-day delivery of facilities management services, helping to ensure a safe, compliant and welcoming environment for customers, visitors and stakeholders. Working closely with the Assistant Facilities Manager, the successful candidate will contribute to the smooth operation of the site through the effective delivery of support services and administrative activities.

This role sits within a team responsible for delivering specific outcomes for customers and stakeholders while supporting the successful delivery of services and projects. Service quality is a key focus, and the Facilities Assistant will help ensure that facilities support activities are delivered efficiently and professionally.

Key Responsibilities

  • Provide front of house support, welcoming visitors and assisting them appropriately.
  • Ensure security procedures are followed at all times.
  • Deliver support services including porterage, meeting room management and management of the FM mailbox.
  • Conduct inductions for new starters, including health and safety and environmental inductions.
  • Log, facilitate and oversee reactive maintenance and planned preventative maintenance (PPM) visits.
  • Support compliance with environmental, HSEQ and security standards, including audits.
  • Assist with traffic management plans, fire risk assessments and water hygiene arrangements where appropriate.
  • Provide administrative support to the Facilities Management team and support the delivery of low to medium risk projects.

Person Specification

  • Experience working with customers and soft services.
  • Proficient in Microsoft Office applications.
  • Ability to communicate effectively with different levels of management.
  • Ideally, experience of completing compliance checks and reports, although training can be provided.
  • Positive attitude with a proactive, can-do mindset.
