Our client, a leading provider of facilities services in the UK, is seeking a Facilities Assistant to work closely with the Assistant Facilities Manager and support all aspects of Facilities Management service provision.

Job Description

The successful candidate will play a key role in delivering high-quality services to customers and stakeholders while ensuring the smooth day-to-day operation of facilities activities. Working as part of a busy facilities team, you will support a wide range of operational and administrative activities to help maintain an efficient and compliant workplace environment.

We are looking for a proactive and customer-focused individual who can contribute to service delivery, support projects, maintain compliance standards, and provide effective administrative and operational support in a fast-paced environment.

Key Responsibilities

  • Provide front of house support, welcoming visitors and assisting them appropriately.
  • Ensure all site security procedures are followed and maintained.
  • Deliver support services including porterage, meeting room management, and management of the Facilities Management mailbox.
  • Conduct inductions for new starters, including Health & Safety and environmental inductions.
  • Log, facilitate, and oversee reactive maintenance and planned preventative maintenance (PPM) visits.
  • Support compliance with environmental, HSEQ, and operational standards.
  • Assist with traffic management plans, fire risk assessments, and water hygiene arrangements where required.
  • Complete audits, including security audits, and support the delivery of low to medium-risk projects.

Person Specification

  • Previous facilities or office-based facilities experience.
  • Health & Safety knowledge and experience.
  • Strong stakeholder engagement skills.
  • Proficient in Microsoft Office applications.
  • Experience working within a fast-paced environment.
  • Strong team player with a collaborative approach.
  • Customer-focused with a commitment to delivering excellent service.
  • Excellent communication and interpersonal skills.
