Role Details

  • Location: Westhill, Aberdeenshire

  • Rate: £15.50 per hour PAYE

  • Contract: Starting ASAP until 24/12/2026

  • Working Hours: 8:30am - 4:30pm, Monday to Friday



Key Responsibilities

  • Acting as the first point of contact at the reception desk to provide first-class front of house services for external visitors, employees, and contractors.

  • Answering the UK-wide switchboard, monitoring a shared mailbox, and managing day-to-day queries.

  • Updating site inductions, carrying out inductions for new starters and visitors, and managing car parking records.

  • Acting as the first point of contact for office and IT-related issues and managing them to resolution.

  • Ensuring meeting rooms are maintained to an exceptional standard, managing the booking system, checking IT/VC equipment, and arranging hospitality.

  • Managing the mailroom, including incoming/outgoing post, couriers, and distribution.

  • Controlling stock for stationery, replenishing kitchen and office consumables, and managing the access control system/issuing passes.

  • Carrying out weekly/monthly office checks , acting as the main Fire Marshal Coordinator, and proactively reporting maintenance issues.

  • Liaising with cleaning contractors for day-to-day issues



What We Are Looking For

  • Experience in the provision of Front of House services at a corporate level

  • IT literate with a good working knowledge of the Microsoft suite of programmes

  • Exceptional customer services and excellent organisational skills

  • Confident in dealing with people at all levels with excellent verbal and written communication skills

  • AIWFM or an NVQ in Front of House/Reception/Business Admin

  • A good understanding and knowledge of Facilities Management
